The UW Medicine Human Resources Workforce Management Systems (WMS) department is a shared services organization that supports all of UW Medicine Health System (UWMHS), including Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), UW Medicine Primary Care (UWMPC), Faculty Practice Plan Svcs (FPPS), Airlift Northwest (ALNW), and UW Medicine Shared Services. WMS is responsible for the ongoing support and maintenance of HR infrastructure and applications which support all of these institutions, along with the implementation of new HR services and processes that are used to support and further the UW Medicine mission.

The HR Analyst for Security and Operations (“Analyst”) position will report to the Director for UW Medicine HR (UWMHR) and operate as a member of the Workforce Management Systems Team that is dedicated to supporting UW Medicine HR projects, processes, workforce data management and reporting.

The Analyst will serve as the primary coordinator for all aspects of Workday security (HCM and Finance roles) for the UWMHS, working with leaders, operational and finance business owners from across the Health System, HR staff and customers to ensure that Workday role assignments are set up to consistently meet the needs of our customers.

Additionally, the analyst will serve as an escalated point of contact for resolution of a broad range of finance- and HR-related customer inquiries. The Analyst will support our internal HR team and other business partners, including the ISC and UWMHS finance and supply chain leaders, with on-going maintenance, operational and technical support of all aspects of the Workday system, including but not limited to issue resolution and testing support for regular and ad hoc Workday updates.

The Analyst must be detail-oriented, highly organized, and an excellent listener and communicator who can communicate responsibilities and expectations to team members and business owners; manage daily work assignments; identify and manage issues, risks and decisions; and ensure quality deliverables and outcomes.

RESPONSIBILITIES:

Security Analyst

  • Act as core member of team responsible for UWMHS Workday security support including HCM and Financials, providing advanced consultative expertise and serve as primary coordinator for all activities and services related to security administration.
  • Develop extensive insight across HCM and finance processes (both within and external to Workday) and consistently apply this end-to-end perspective in conjunction with meeting the service delivery objectives of the WMS team.
  • Respond to general inquiries about Workday finance transactions and how security set-up impacts the ability to see/execute transactions and reporting in Workday.
  • Assess and process all Workday security role requests, coordinating with the UWMHS site leads for approval, as needed.
  • Monitor and resolve any unassigned tasks related to UWMHS financial transactions in Workday by coordinating with UWMHS finance partners.
  • Monitor and fulfill all UWMHS delegation requests (for both HRP and finance roles).
  • Manage requests for Workday lower tenant (i.e., Sandbox, UW8) access and coordinate with ISC on request fulfillment.
  • Troubleshoot Workday access issues related to HR and finance transactions and/or reports.
  • Escalate issues to the ISC Security and/or Reporting team when a configuration change is required for issue resolution, and partners with the ISC on testing for any proposed solution.
  • Support the annual budget process by ensuring that the Adaptive role assignments in Workday are current prior to the start of the budget cycle, and, where possible, establish process for maintaining adaptive role assignments year-round, in partnership with our UWMHS finance partners.
  • Continually monitor the health of the security role assignments in Workday, by performing regular auditing processes to ensure that security assignments are complete and in alignment with standard rule set for assignments; coordinate with UWMHS finance and supply chain partners to quickly resolve any issues identified.
  • Detect patterns of knowledge gaps that exist across our UWMHS audience and develop materials and plans for dissemination of that information to appropriate parties.
  • Maintain documentation for UWMHS Workday security program, including overview of security roles (who can see/do what), process flow documentation, training materials, etc.
  • Apply Workday finance subject matter expertise to support Workday finance testing activities, including biannual release testing, unit, end-to-end and user acceptance testing, as needed.
  • Alerts senior leadership of any significant security risks or concerns; troubleshoots issues; analyzes and documents findings and implements remediation protocols to mitigate future incidents.
  • Establish credibility and build trusting relationships with business owners, customers, and leadership.

Provide HCM Subject Matter Expertise and Operations Support

  • Develops extensive insight across HCM processes (both within and external to Workday HCM) and consistently apply this end-to-end perspective in conjunction with meeting the service delivery objectives of the WMS team.
  • Provide Performance Management technical support, including pre-launch data review/updates and process management/customer support during open review window.
  • Serve as backup resource for monitoring inquiries coming into team email inbox, facilitating management of inquiries/issues in accordance with established protocols.
  • Serve as backup support for Workday HR Analysts, as needed, for HCM administrative issues and inquiries, providing advanced consultative expertise to support UWMHS staff and working students by resolving complex HR and Payroll inquiries.
  • Identify process improvement opportunities to deliver enhanced customer services to the organization. Identify and develop relevant content for organization-specific training and development that may be added to the working repository of knowledge content.
  • Coordinate with ISC Tier 2 staff and with external Central Business Unit experts to address escalated inquiries.
  • Apply HCM subject matter expertise to support Workday HCM testing activities, including biannual release testing.
  • Have proficient knowledge of policy, procedure, and Workday fundamentals to complete routine audits of the HR-related data in the system.
  • Effectively escalate issues to supervisor when normal business practices are not successful in resolving or as otherwise needed.
  • Contribute to an outstanding customer-service environment, including strong collaboration with key stakeholders.
  • Apply tact and diplomacy when dealing with customers.
  • Develop constructive alignments with designated areas of the organization in the interest of delivering high quality services.

Other Duties as Assigned

  • Continue professional development in order to keep abreast of emerging technologies, methods, and best practices.
  • Attend team and departmental meetings as appropriate.
  • Support WMS training activities, including development and verification of relevant content.

MINIMUM REQUIREMENTS:

Bachelor's Degree in Related Field of Study (e.g. Business, Finance, Technology)

3+ years of progressive HR Operations or Analyst experience, including:

  • Experience working in the HR, Benefits and/or Payroll domains
  • Working experience processing transactions in HCM systems
  • Experience collaborating with department transactional initiators and understanding the political landscape amongst distributed organizations
  • Extensive experience interacting with customers, including resolution of complex inquiries and efficient performance during high-volume timeframes
  • Experience supporting system testing and/or data validation activities
  • Ability to learn and apply basic Workday Security and Reporting skills
  • Demonstrated ability to support and participate in cross-functional, cross organizational work groups to implement projects or organizational changes.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

  • Proven ability to work in an ambiguous environment and collaborate across multiple areas in order to achieve a common business objective.
  • Ability to learn, understand, and apply new technologies.

WORKING CONDITIONS:

  • The work may be performed during the department’s core business hours; either by telecommuting or in an office environment, based on the team’s business requirements and manager approval.
  • Some off-hours and weekends may be needed to resolve problems and respond to emergencies.
  • Is expected to meet in-person as directed by manager.
  • Because of the physically separated sites for UW Medicine, this position requires the ability to travel to alternative work locations as needed.
