Job Summary:

The Department of Ophthalmology at SUNY Downstate Health Sciences University is seeking a full-time Financial Assistant/Senior Staff Assistant. The successful candidate will:

  • Help with financial data entry and general bookkeeping.
  • Manage data, records, and reports by checking for errors and verifying accuracy of information.
  • Update and maintain financial records.
  • Prepare spreadsheets for data entry, including budgets, accounting information, etc.
  • Prepare, monitor and distribute daily bank reconciliation.
  • Prepare, monitor and distribute reconciliation of all departmental accounts including but not limited to IFR, Research and State.
  • Prepare and deposit all revenue into accounts.
  • Prepare and submit invoices for services rendered.
  • Monitor invoices from submission to payment.
  • Prepare and monitor Accounts Receivable and Accounts Payable ledger.
  • Maintain payroll and timesheets for employees in the department including accrued time for vacation, absences, etc. including but not limited to Affiliation time sheets and state time sheets acting on behalf of the Chairman.
  • Responsible for processing requests for time off and trip requisitions including but not limited to ensuring all requests are complete, attaching yearly calendar of time off, logging all approved requests and returning approved requests/denied request to requestor. 
  • Assist with audits as necessary.
  • Responsible for financial analysis and budget adherence in conjunction with the Financial Officer.
  • Assist the Financial Officer with special projects and financial audits. 
  • Adhere to current accounting/finance laws and regulations. 

Required Qualifications:

  • Associate degree in accounting, finance or related field
  • Three years of experience as a financial assistant

Preferred Qualifications:

  • Bachelor's degree in accounting, finance or related field
  • Mathematical and accounting acuity
  • Professional demeanor and excellent customer service skills
  • Knowledgeable in basic accounting/bookkeeping practices and processes
  • Computer knowledge experience using Microsoft Suite (mainly Excel) and other accounting and data input software
  • Excellent communicator, both spoken and written
  • Strong organizational, analytical and time-management skills
  • Detail oriented
  • Thrives working both independently (a self-starter) and collaboratively
  • Dependable, respectful and consistently works to uphold company ethics and standards

Work Schedule:

Monday to Friday; 9:00 am to 5:00 pm

SL-3

Commensurate with experience and qualifications
