Development and Finance Coordinator

OVERVIEW: Supports the Chief Development Officer and Chief Financial Officer with administrative and project-based tasks.

REPORTS TO: Chief Development Officer

COMPENSATION: $19.97 - $22.07 Full Time

BENEFITS: Full time employees are covered by medical, dental, vision, basic life insurance/LTD/AD&D. Employees are able to enroll in our company’s 403b plan. Employees will also receive ten days of sick leave and ten days of vacation leave every year, twelve paid holidays and one floating holiday throughout the calendar year. Additional benefits include subsidized transportation (ORCA business passport), access to fitness facility, and museum membership.

ESSENTIAL FUNCTIONS:

  1. Provide administrative and organizational support to Chief Development Officer, Chief Financial Officer and related teams. 
  2. Check and sort department mail; monitor and distribute incoming gifts/memberships for batching and deposit.
  3. Code contributed revenue donations and work with managers and finance for accurate gift designation.
  4. Coordinate various departmental and committee meetings; prepare required materials, take minutes, and provide requested follow-up as appropriate.
  5. Monitor all gifts of stock and coordinate with finance department.
  6. Maintain effective costumer relations; provide timely acknowledgments and respond to incoming correspondence and telephone calls when appropriate.
  7. Coordinate and fulfill SAM’s auction donation requests from not-for-profits and schools, including donations of memberships, tickets, and special packages (private docent or curator guided tours).
  8. Prepare daily and weekly contributed income reports.
  9. Compose and export queries and reports from donor database.
  10. Track and code department credit card charges and department expenses; track and run reports relating to the department’s budget.
  11. Maintain departmental calendars, internal department website site updates
  12. Track and order departmental supplies.
  13. Support Chief Development Officer in the coordination of group events.
  14. Work closely with the CEO/Museum Director’s Executive Assistant to ensure the Director is aware of and prepared for development related projects and programs.
  15. Support department volunteers as assigned.
  16. Support department events as requested.
  17. Provide additional support as needed.

QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  1. Bachelor’s degree in liberal arts, arts, or business administration; OR equivalent combination of education and/or experience preferred.
  2. Excellent oral and written communication skills; ability to communicate effectively and to project a professional image when giving and taking information in writing, in person, and over the phone.
  3. Accurate typing/keyboarding with excellent word processing and calculator skills.
  4. Knowledge of basic accounting and database system procedures; ability to learn and work with the Museum’s database system.
  5. Ability to work well under pressure and to research, coordinate, and implement multiple tasks simultaneously.
  6. Ability to work with close attention to detail and to maintain confidentiality of sensitive information.
  7. Ability to work with donors, members, the public, and co-workers professionally and tactfully. Represent the Museum with a high level of integrity and professionalism and conform to the code of ethics governing the museum profession.

WORKING CONDITIONS:

Exposure: Work areas are primarily inside, in a climate-controlled environment with light background noise. Work is occasionally performed at other indoor and outdoor sites. 

PHYSICAL ACTIVITIES REQUIRED FOR ESSENTIAL FUNCTIONS:

Stationary Work: Approximately 75% of time is spent stationary while working at a desk. Balance of time (approximately 25%) is spent moving around the work area. Occasional extended periods of standing may be required when assisting at Museum events.

Communication: Clear and effective communication with volunteers, donors, members, the public, and co-workers is necessary.

Moving: The ability to move up to twenty pounds on occasion is necessary for moving files, equipment, and supplies. Must be able to regularly position self to access files.

Office Work: Ability to effectively and regularly operate a computer, keyboard, and other office productivity machinery, such as copy machines and printers, and ability to inspect, prepare and use paperwork, files, equipment, and supplies is necessary.
