REPORTS TO: Manager Admin Services & Factory Manager and Senior Officer Security and Admin

DIRECT REPORTS: Security Shift Leader & Staff

The Security and Admin Officer is responsible for:

Core Responsibilities:

  • Security Initiatives and Control – Extend active support in designing and executing action plans against areas of improvements identified in audit observations/surveys/Listen Survey for each year and build a timeline to achieve targets. Implement the action plan in smooth manner. supervise / control the security staff of Plant. Supervise / control office administration of related staff. Lead and supervise fire-fighting staff and monitor drills. To supervise / control the security staff of Plant. Deployment of the security staff according to the requirements. To make sure Duty Roaster of the Security and Admin staff as per defined frequency. Work closely with communities of expertise and HR operations to ensure timely delivery of security reports, timely to take action/resolve issues/queries etc. Ensure maximum participation in various Security and Admin assignments including to keep align skills and knowhow of security staff with new security technology and techniques to handle the untoward situation. Ensure prevent measure to control theft occurrence at plant. Make sure prevent measures against unlawful activities and theft incidents and control influence of notorious people surrounding of the Plant with the help Shift Leaders / Staff / Security Guards. Assist Manager Admin Services & Security in related matters if required at Plant as per Company need. Ensure proper working 24/7 of all devices/cameras of CCTVE at plant. Also make sure overall maintenance of CCTVE cameras and randomly check that data of CCTVE cameras are being recorded accordingly. Educate the security staff about safety and security of the company assets under his command at Plant. Supervise and manage application if there is any unlawful activity/incident observed at plant and provide security services accordingly and follow up on regular basis till end. Attend law enforcements agencies/police dept on behalf of Company in case or complaints if any. Arrange appropriate demonstrations of firefighting training of security staff with coordination of safety dept and Civil Defense dept.
  • Administrative Initiative – Lead and supervise admin staff, fire-fighting staff, the Janitorial/Sanitation/Horticulture/Guarding Staff of the plant and monitor drills. To ensure timely raising of Notifications for maintenance job if required in security and follow up on regular basis till its completion. To check and monitor patrolling squad at Plant regularly and to intimate Crises Management Committee about any mishap taken place in plant. Supervise/Control. Arrange proper uniforms of the Security/Janitorial and Horticulture Staff. To check and monitor wastewater disposal system and take corrective actions.
  • Performance Management – Provide end-to-end support to internal stakeholders during annual performance review along with providing refresher sessions to security and Admin staff/employees to support the effective utilization of their performance and feedback.
  • People & Capability Review – Facilitate the annual People & Capability review process by identifying the succession pipelines and development areas of the team. Provide support to business leaders in creating robust development plans to meet succession and team development needs. Foster accountability for successors and future leaders’ development and ensure execution of plans to retain high-potential talent in Security department.
  • Ingredion Digital Learning – Actively support team in their development through use of Learning Portal of Human Resources Information System (Workday). Guide stakeholders throughout employee-life cycle, from onboarding to career progression and development, support employees to make most out of the digital talent solutions in Workday Learning Portal.
  • New Hire Onboarding – Support in end-to-end coordination for new joiner onboarding in Security and Admin department. Debrief new joiner about Security SOPs, Polices and Manual and its ensure true implementation and execution.
  • Employee Engagement Initiatives – Provide proactive Administrative and Security support to leads in organizing international & regional events including CEO Awards and support to carry forward global initiatives including World Environment Day, International Women’s Day etc. Actively take initiatives and provide support in organizing various local events including long service awards, Eid, Christmas and Year-End celebrations etc. to enhance employee experience.
  • Organizational Effectiveness & Development – Extend cooperation and ensure Security & Admin support in implementing structural improvements and functional reorganization to achieve business strategy and organization. Work in close collaboration with Manager Admin Services & Security for talent development and talent retention.
  • Security Operations – Work closely with Security & Admin staff to ensure timely delivery of security reports and to take action/resolve issues/queries etc. Ensure maximum participation in various Security and Admin assignments including to keep align skills and know how of security staff with new security technology and techniques to handle the untoward situation. Ensure prevent measure to control theft occurrence at plant. Make sure prevent measures against unlawful activities and theft incidents and control influence of notorious people surrounding of the Plant with the help of Shift Leader/Security Guards. Check and get maintenance of weapons on quarterly basis and arrange a weapon testing drill in his presence. Make sure that necessary professional and safety trainings are being conducted to improve professional skills and efficacy of Company security staff and 3-party contractor’s security staff. Check and verify/sign monthly wages bill of 3-Party Security Company. Extend cooperation and provide security and admin services to Warehouse, Quality Assurance team and Maize purchase dept during maize buying seasons (Summer & Winter). Arrange training session to enhance the awareness about security related matters and performance of the sections working under command. Perform any special duty assigned by the higher Management. Coordinate regarding IMS audits and documentations (Security Department). Make sure the availability and protocol to Company official/guests/ foreigner/ELT for safe movement etc. Check and sign the gate Logbooks/In out vehicles/Individual’s entries on daily basis. Check and sign SRMS/OGP/Weigh variation reports/Outward gate pass report on daily basis and ensure smooth flow of Sales/Maize/Purchase vehicles. Perform any special duty assigned by the higher Management.
  • Administrative Control & Affairs – To supervise traffic arrangement at Plant. To take appropriate rounds on daily basis at Plant premises and check the logbooks placed at all gates of both premises and discuss with Manager Admin Services & Security/Plant Manager. To ensure and manage duty roaster to curtail Over Time working. Renewal of Company license like Arms/Sulphur/HCL or if any other from relevant department annually. Timely putt up 3-party agreement Security/CCTVE cameras to avoid any uncertain situation. Check and get maintenance of weapons on quarterly basis and arrange a weapon testing drill in his presence. Issue / check entry cards of the contract labour. Arrange for the proper uniforms of the Security. To make sure all necessary arrangements of security and admin with coordination of Warehouse & Quality team before starting of maize buying seasons (Spring & Winter) at Plant. Intimate Manager Admin Services & Security immediately and arrange about short fall in approved strength (HC) of permanent security staff & 3-party Security Company’s staff if any. 
  • Cultural Transformation – Represent Security & Admin department on various local, regional, and corporate platforms and act as liaison to ensure company values are well embed at Plant site.

Qualified candidates will have:

Mandatory requirements: 

  • Degree: F.A preferable Graduate
  • Work experience: Ex-Army or Police Officer as Commanding Officer
  • Age: up to 50 years – Flexible in case of experience more than 25 years
  • English fluency, both written and spoken

Required behaviors and skills:

  • An individual having general health, good administration, and good executor of Company SOPs/Policies, have good liaison/contacts with the government institutions and law enforcement agencies particularly dealing with Police and other Police offices, skills to control Traffic issues.
  • Preferably - Training on counter terrorism from CTD - Punjab Police or Pak Army.
  • Knowledge of Implementation & Monitoring of Integrated Management System.

Knowledge transfer:

  • To ensure the problem solving with participation and consultation of concerning subordinates.
  • Represents the Rafhan in relevant global application expert teams and identifies opportunities for cross-regional solution transfers.
  • Trains the go-to-market team in application specific areas of security as needed to reach maximum self-sufficiency in modern security techniques and solutions.
  • Captures the key learnings/insights in designated knowledge security management tools.
  • Ensures all intellectual knowledge and know-how is adequately protected and identifies opportunities to file potential new IP.
