We are in search of a meticulous and proactive individual to join our team as the Technical Writer/Project Coordinator reporting to the Head of Technical and Engineering Services. This multifaceted role focuses on documenting, integrating, and managing facility management and engineering projects within commercial and class A office facilities, alongside actively participating in the formal creation of reports, documented technical processes, compiling site assessment data, and supporting technical engineering projects.

The primary responsibility will encompass crafting meticulous and comprehensive technical documentation related to smart building systems and protocols. Beyond documentation, you will play a pivotal role in supporting project managers by coordinating projects, ensuring seamless deployment, and monitoring project activities.

The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and the ability to communicate effectively across diverse teams. Your adeptness in translating intricate technical information into coherent documentation will be crucial.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Technical Writing: Proven experience in creating clear, concise, and comprehensive technical documentation related to facility management systems, protocols, and technologies.
  • Project Coordination: Ability to assist in project management tasks such as scheduling, resource management, site visits, data collection, date organization and coordinating activities among multiple stakeholders.
  • Understanding of Facility Management Technologies: Familiarity with IoT devices, building automation systems, sensors, protocols (e.g., BACnet, Modbus), and data analytics within smart building environments.
  • Attention to Detail: Strong attention to detail to ensure accuracy in technical documentation and project plans.
  • Communication Skills: Excellent verbal and written communication skills to interact with technical and non-technical stakeholders.
  • Problem-Solving Abilities: Capacity to identify issues, troubleshoot problems, and propose effective solutions within facility management and engineering contexts.
  • Organization and Time Management: Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Works under general supervision following defined policies and procedures.
  • Provides exceptional customer service to internal and external customers by establishing and maintaining effective communication and working relationships.
  • Consults with management to address questions, issues, and service requests as needed.
  • Supports the performance of the client operations, including planned and unplanned maintenance, service, and installation.
  • Coordinates equipment, subcontractors, and materials required according to job scope requirements, as needed
  • Works closely with management to ensure jobs are staffed with the appropriately skilled technicians.
  • Complies with all safety, security, compliance, and quality standards established by the Company, clients, and regulatory authorities. Advises management about work issues such as accidents, weather conditions, and other hazards.
  • Utilizes appropriate resources to support both technical and operational needs.
  • Additional duties and responsibilities as assigned.

MINIMUM JOB REQUIREMENTS

  • The Project Coordinator/Technical Writer should possess the following skills, characteristics, and abilities:
  • Bachelor's degree in Engineering, Computer Science, Information Technology, Technical Writing, Project Management, or related field. Equivalent practical experience will also be considered.
  • Experience in the Electrical / Structural / Mechanical service industry a plus.
  • Knowledgeable in building design, code compliance, local/state/federal regulation(s)
  • Strong computer skills with proficiency in common office applications such Microsoft Suite (Excel, PowerPoint, Project, Outlook, etc) and Google Suite (Slides, Sheets, Sites, Docs, Forms, etc.)
  • Strong Organizational skills and attention to detail
  • Excellent Verbal and Written Communication skills in the English language
  • Proven ability to multi-Task
  • Proven ability to work effectively in a team environment

Preferred Experience & Skills

  • Project Management Software: Experience with project management tools (e.g., Smartsheet, Jira, Microsoft Project) for task management, scheduling, and collaboration.
  • Smart Building Industry Knowledge: Familiarity with industry trends, emerging technologies, and best practices within the facility management sector.
  • Quality Assurance: Knowledge of QA processes to ensure the accuracy and reliability of technical documentation.
  • Multidisciplinary Background: Experience or education in both technical writing/documentation and project management fields.
  • Certifications: Relevant certifications in technical writing, project management, or facility management
  • Computer Skills: Knowledgeable and proficient in Google Suite

Travel

  • Travel is required based on client location (domestic)

Pay: $80,000 - $90,000/Year 

The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data.
