Position Details:This position requires an HR professional to coordinate HCCA Corporate Learning & Engagement programs and initiatives, administer assigned programs as well as support leadership. This position involves a high degree of interaction with individuals across multiple departments and encompasses a wide range of duties. Responsibilities include but are not limited to; preparing/implementing annual plans, maintaining policies and forms, writing employee communications, organizing events, administering employee programs, delivering high-level new hire training, and various other Talent Development programs, including action plans from global engagement surveys and participating as a lead member of our Engagement Committee.

Duties and Responsibilities: 

1. Plan and coordinate employee engagement programs and events including but not limited to;

  • Prepare annual plans and calendars for corporate engagement
  • Prepare initiative plans, and maintain policy documents and forms necessary to administer corporate engagement programs
  • Write employee communications and announcements
  • Post all announcements, policy documents, and forms to HCCA intranet site and rewards platform (CUBE/Top Gear)
  • Source venues, catering and event activities and logistics
  • Prepare invitations and promotional materials, design lay-out and diagram of seating, work on scheduling
  • Keep inventory of gifts and equipment, prepare presentations
  • Execute philanthropy events and functions
  • Track all expenditures to align with the assigned budget

2. Lead new hire HR onboarding sessions and Talent Development programs; plan, prepare & update materials.

  • Coordinate with stakeholders regarding the onboarding process for all new employees including welcome kits, schedules, technical and physical set up and follow-up support
  • Administer quarterly new hire surveys and audit onboarding completions via LMS reporting
  • Organize HCCA external Talent Development programs and assess for effectiveness and continual improvement of program offerings

3. Provide HR Managers and Executive Advisors with administrative support for various Corporate HR Functions.

  • Back-up to Coordinate Business Card process and other team member tasks
  • Maintain spreadsheets and provide operational support as needed

4. Perform all other duties as assigned

Qualifications

  • Three (3) years of experience in a corporate environment with some focus on Training and corporate engagement
  • Demonstrated experience and strong ability with Microsoft Office products, including knowledge of PowerPoint, Teams, Excel and Outlook
  • Experience working with multiple stakeholders on common goals
  • Experience delivering in-person and virtual instructor-led sessions
  • Knowledge of Learning Management Systems (LMS) & Instructional Design is an asset
  • Bachelor’s degree in Business Administration, Human Resources, or related discipline or equivalent combination of work experience and education
  • Previous experience planning and coordinating corporate events
  • Previous experience administering employee programs
  • Previous experience maintaining confidentiality of employee information and records
  • Strong agility and multitasking abilities in complex corporate work environments
  • Problem-solving skills and ability to provide solutions to a variety of problems/issues of moderate scope and complexity
  • Must be able to manage and carry task and assignments with limited supervision
  • Working knowledge of Microsoft Office. Intermediate level with Excel, PowerPoint, Teams, and Access
  • Detail-oriented with the ability to maintain the highest level of productivity and quality levels
