Your Team, Your Impact

The Administrative Assistant will be responsible for supporting the BU local Lead, the engineering team and light support to the greater organization when necessary. You will be directly reporting to the BU local Lead and indirectly to the Sr. Staff Executive Assistant (international). The Administrative Assistant will anticipate the needs of the team and help them stay focused on their projects by resolving operational and administrative issues before they arise. Proficient in English & Vietnamese is a requirement. Use discretion in handling confidential and sensitive data, apply skills and analytical knowledge to perform the more complex duties of the position. Works under limited supervision and executes own work planning. Initiates appropriate action to resolve routine to moderately complex problems. Escalates issues to senior leader when appropriate. Prepares letters, memos, and may prepare presentation materials and compiles special reports using various software tools such as the Microsoft Office Suite.

What You Can Expect

  • Calendar management while scheduling key meetings and events, including room reservations and caterings. Coordinating meetings and calls across all levels of the organization and multiple time zones.
  • Organizing complex domestic and international travel arrangement including passport, visa requirements and partnering with HR/Immigration for invitation letters, biz letters.
  • Support, coach and prepare employees for visa interviews.
  • Creating and submitting expense reports for BU local Lead and Sr Managers
  • Assist with special projects for the executive and/or the team.
  • Provides support for departmental events, quarterly events, and recognition as well as coordinating activities across the organization.
  • Build efficiency and effective responsiveness into existing operations.
  • Support the BU local Lead with any facilities related work.
  • Serve as local lead and manage small projects closely working with Sr Staff Executive Assistant & Bu local Lead.
  • Debrief and keep the Sr Staff Executive Assistant & abreast of all Vietnam activities via regular 1:1s.
  • Ability to exercise complete discretion and handle highly confidential information with 100% integrity.

What We're Looking For

  • Bachelor's degree or equivalent required, and a minimum of 5 years relevant experience as an Administrative Assistant supporting executives.
  • Bilingual with Vietnamese and English. Must be fluent in writing, reading, and speaking both languages- this is critical for this position as you will be a liaison between the Vietnam offices and other international English spoken locations.
  • Experience with large multinational organization and genuine interest in the industry and business.
  • Excellent written and verbal interpersonal skills and strong sense of professionalism including the ability to communicate with all levels of the organization.
  • Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks "win-win" solutions; energized by challenges.
  • Possess excellent organizational skills with attention to detail and follow through.
  • Passion for learning, continuous improvement, and sharing best practices.
  • Ability to think strategically and understand the business and industry.
  • Consistent track record of meeting deadlines and taking initiative to make confident and well-informed decisions.
  • Demonstrates an ability to anticipate needs and changes, then react with the best interest of the business in mind.
  • Direct experience handling sensitive and confidential information with integrity, discretion, and upmost secrecy.
  • Proficient with Microsoft Office (excelling with Outlook, advanced with PPT & Excel, Word)
