Administrative Assistant, Trent Center for Medical Ethics and Humanities

The School of Medicine’s Trent Center for Bioethics, Humanities & History of Medicine was founded in 1999 with the mission to develop interdisciplinary educational and research programs in clinical and research ethics, the history of medicine, and the social and cultural aspects of medicine. With over 30 core faculty and faculty associates from across Duke University, its programs and educational offerings are designed for medical students, residents, researchers, and faculty and staff in the School of Medicine. In addition, The Trent Center holds annually a number of endowed lectures for both the Duke community and the general public. 

Occupational Summary

In support of the Trent Center for Bioethics, Humanities & History of Medicine in the School of Medicine, applies knowledge and skills to ensure smooth operations of programs and ongoing financial administration. Works both independently and with others.

Work Performed

Support all ongoing Trent Center operations and participate in strategic planning. Assist with budget planning and preparation, and reconcile programmatic transactions. Advise Center Director, Associate Director, Program Directors and staff members on administrative, personnel and general operating procedures. Compile financial reports and analyses and offer recommendations or conclusions.

Work closely with Program Coordinator on managing all aspects of a wide range of educational programs, courses and major public events. Activities include contracting with vendors, securing space, scheduling and promoting all Trent Center activities.

Develop operating systems and maintain Trent Center program and financial records including grants, contracts and budget expenditures. Inform appropriate faculty and staff members of the status of various projects and/or matters of significant financial impact.

Operate with the authority to affect, interpret, or implement policies or operating practices. Independently generate detailed presentations and reports.

Provide direct support to the Center Director including meeting management, travel arrangements and materials development, as requested.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires a general educational background normally equivalent to a full high school education plus two years post-secondary education in a business-related field.

Experience

Work requires 4 years related business or administrative experience to become familiar with accounting and budgeting principles, personnel practices and coordination of major educational activities and events.

OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.

Job Skills

Ability to work independently, excellent time management, budgeting and financial skills; superior written and verbal communication; ability to serve multiple constituents including students, faculty, administrators, and funders.

Preferred proficiency in: Microsoft Office: Word, Excel and PowerPoint; Qualtrics; Duke Financial Systems. Familiar with communications tools such as: Emma --email marketing; Canva, Photoshop, Adobe Illustrator, Drupal 8, WordPress, and Warpwire
