Salary and Benefits

The salary range for this position is $3,897 to $6,142 a month. Starting salary placement depends on qualifications, experience and salary budget, and will not exceed $4,667 a month.

Conditions of Employment

This is a full time, exempt position, which will lead toward permanent status following the successful completion of a probationary period.


Reporting to the Senior Director for University Budget, the incumbent performs varied administrative, technical and analytical duties and provides support to the University Budget Office. Though lead work direction will come from the Senior Director for University Budget, the incumbent will be responsible for his/her own independent performance of work assignments and projects and meeting deadlines. The incumbent is expected to interpret and apply department, campus and system-wide policies and procedures, perform research when needed, prepare and analyze budgetary and other financial reports, provide support documentation and coordinate general administration functions in support of day to day operations in the office and for committee meetings. The incumbent is relied upon to apply considerable judgment to analyze and address problems using reasoning and interpretation to determine appropriate recommendations and solutions related to operations and procedural processes.

The University Budget Office provides leadership and support to the campus community in the area of planning and allocation of campus resources. Accordingly, the incumbent must conduct him/herself with the highest integrity and in a professional, positive, respectful, service-oriented manner at all times while serving in this position. The incumbent contributes to the completion of broad, complex and highly visible University projects and goals, often representing the University Budget Office in key areas. Work and contacts involves coordination with and interactions with individuals at all levels within and outside the University, and will include routine handling of sensitive and confidential information.

The incumbent is responsible for applying independent judgement to plan, organize and perform a wide variety of administrative, technical and analytical duties in support of the University Budget Office. Routine duties will include, but are not limited to, the following:

- Maintaining budgets, tracking and recording actuals and reviewing budgets vs. actuals. This includes analyzing, monitoring, balancing and reconciling budgets, projecting expenses and compiling budgetary information for both University and Self-Support Funds; - Performing monthly budgetary cost sheet reconciliation and running reports including posting monthly payroll for all University divisions and Self-Supports using CFS Data Warehouse; - Providing reports to department budget managers and reviewing reports for any areas of concern; working with Senior Director for University Budget and appropriate budget managers to correct any issues; - Generating journal reclasses and gathering appropriate backup documentation to transfer funds or make corrections to revenues and expenses; - Generating and posting budget journals to assist in maintaining budget allocations; - Providing general day to day administrative support including scheduling meetings, purchasing supplies, and maintaining and updating filing systems. - Gathering, organizing and preparing data pertaining to budgetary or financial issues using software tools such as PeopleSoft Finance Query and the CFS Data Warehouse; - Responsible for maintaining the chart of accounts by completing Chartfield Request Forms and maintaining the Capital Chartfields Project List. - Gathering information and updating worksheets and budget cost sheets to assist with preparation of annual FIRMS budget submission, Campus Reserve Designations, Student Fee Report and other annual and regular reports due to the Chancellor's Office. - Responsible for the budgetary projection and implementation of the annual salary increase programs for all represented and unrepresented bargaining units which must be applied to each budgeted position line. - Maintaining Labor Cost Distribution in the Human Resources database to ensure that payroll expenses are charged to the correct chart of accounts, this includes adding and maintaining Combo Codes and Department LCD defaults as well as setting up Pool, Position and Appointment level LCD levels; running monthly pay tape processes to ensure correct payroll posting to HR database and PeopleSoft Finance; and distributing monthly LCD reports to departments across campus.

Performs other secondary duties as assigned.

The majority of duties are performed in an open cubicle office setting located in Salazar Hall on the Sonoma State University campus. As an exempt employee you have some flexibility in your schedule however must be available during the regular campus hours Monday through Friday to meet the operational needs of the campus and department. Evening and weekend hours may be required on occasion and will be specified only by the supervisor to meet operational needs. Your specific start time is determined by your Appropriate Administrator. You must maintain regular and acceptable attendance at such levels as is determined by your Appropriate Administrator. This position may require occasional travel, by automobile or airplane, and overnight stay to travel off campus to trainings and meetings. This position will require the ability to be in front of a computer for extended periods of time and may require data entry into a computer for up to six (6) hours a day.


A bachelor's degree and/or equivalent combination of education, training and progressively responsible administrative work experience involving study, analysis and/or evaluation sufficient to provide the foundation to perform the essential functions of the position is required. This position requires solid computer skills, including intermediate to advanced skills with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with strong proficiency in Microsoft Excel. Experience with using PeopleSoft and Common Financial System Data Warehouse, as well as related experience in public sector and/or higher education is highly preferred. Working knowledge of basic budgetary and financial methods and fiscal analysis and techniques including experience in research, support and evaluation of data to develop sound conclusions and make appropriate recommendations is required. Demonstrated ability to effectively interpret, organize and present information and ideas in written and/or presentation form. Ability to write and accurately format business correspondence, reports, and procedures. S/he must be detail orientated and demonstrate the ability to maintain accurate records with a high level of attention to detail and possess strong organizational skills; independently handle multiple priorities, projects, and meet critical, cyclical deadlines in a timely manner. S/he must be adaptive and able to adjust to changing projects and priorities in a fast-paced environment, managing multiple tasks and competing demands and remaining calm. The incumbent should demonstrate an investigative nature to determine the source of a problem and have the initiative and innovation to develop creative solutions. S/he must be able to work effectively both independently and collaboratively as part of a team; demonstrate competency in effectively analyzing and presenting standard information; understand, interpret, and communicate procedures, policies, information, ideas and instructions; and enter data by keyboarding.

An excellent foundation of English grammar, spelling and punctuation and the ability to communicate effectively with all members of the campus community and the ability to maintain cooperative working relationships and work with a diverse body of constituents including students, faculty, staff and others. S/he should be courteous and approachable and must possess outstanding customer service skills and the ability to develop and maintain professional interactions, approach individuals in a tactful manner, and treat individuals with respect and consideration. S/he must be articulate and able to demonstrate excellent interpersonal, written and oral communication skills as well as possess strong critical thinking capability. S/he should be curious and open to growth and learning, able to accept constructive feedback, work cooperatively and resolve conflicts. Incumbent must demonstrate the ability to maintain the highest standards of integrity and confidentiality.
