Job Description:

Under the general supervision of the Registrar, the Associate Registrar for Academic Programs and Systems provides support to the Office of the Registrar through the management of curriculum information including ensuring accuracy in print and electronic materials and assists in compliance reporting.  Supervises staff in the planning and performance of duties according to established standards.  Functions as lead scribe using Degree Works degree audit system and utilizes the system for graduation procedures as well as developing new and enhanced functions.  This position partners with the Registrar and the Information Technology Division to ensure integration and compatibility of student data elements used in the management of student records and graduation records.  This position is also responsible for compliance reporting related platforms such as National Student Clearinghouse and National Loan Data Service as well as overseeing curriculum and catalog updates.


Becomes a super user of Degree Works and understands how components of the system interoperate and impact output and audit results including, but not limited to:  Mastery of the Scribe language tool; Surecode; Batch updates; and coordination of software upgrade testing activities for the Degree Works system in collaboration with IT.  Provides training to staff as needed.  Creates test plans and tests enhancements, new technology initiatives and functionality, and/or system upgrades to administrative systems in collaboration with IT.

Works in collaboration with IT and the Registrar in all areas related to student information system configuration and testing; reporting compliance creation and enrollment submission; and developing and expanding use of Degree Works capabilities for retention and advising purposes.  Troubleshoots problems and acts as first point of contact for particular Degree Works issues such as problems related to student audits.

Responsible for error resolution within the National Student Clearinghouse data submissions and assists students with problems related to enrollment reporting and processing In-School Loan Deferments.

Assists Registrar in creating, maintaining, and revising official college curriculum in software for Areas of Study (Online College Catalog) in HCC website and collaborates with Marketing Department to update and maintain web content.  Plays lead role in collaboration with IT in learning and supporting any new catalog software.

Coordinates and implements office processes as related to best practices and recommends change.

Assists with twice-yearly course schedule booklet creation and final exam schedule; works with students to compile information for withdrawal and refund appeals; fulfills reporting requests from academic divisions; and assists with formulation and documentation of office procedures and training of employees.

Runs and monitors graduation procedures utilizing Degree Works software and oversees degree verification procedure in collaboration with Student Records staff and Advising Center staff.

Supervises all Student Records activities related to Degree Works and oversees clerical staff in the master schedule build, processing course waivers and substitutions related to Degree Works.  Assists Registrar in evaluation process of assigned staff.

Performs other duties as assigned by Registrar including learning and supporting new academic and administrative applications as needed.


REQUIRED QUALIFICATIONS:  Bachelor's degree and minimum of three years' experience in a higher education setting; Work related experience which reflects advancement in area of responsibility; Supervisory experience; Proficiency in oral and written communication; Demonstrated interpersonal skills and ability to interact and collaborate with a variety of constituencies including staff, faculty, and students.

PREFERRED QUALIFICATIONS:   Master's degree; Experience with Banner SIS and Degree Works including Scribe.

SALARY RANGE:  $52,000-$57,000/year, plus a comprehensive State benefits package
