Job Title: Executive Assistant

Location: Arlington, VA (with work from home flexibility)

Raytheon Missiles and Defense (RMD) has an exciting opportunity located in our Arlington, VA office. We are seeking a proven, high performing administrative professional to fill key Executive Assistant role. This opportunity will be supporting two Vice Presidents leading capability growth opportunities for INDO-PACOM and Asia and NORTHCOM, STRATCOM and Americas.

In these dynamic and fast-paced role you will partner and collaborate with other Executive Assistants and business leaders to understand and execute business development priorities in a proactive manner. The ability to build relationships, exercise good judgement and work across the Raytheon and Integrated Defense Systems matrix is critical. The successful candidate will demonstrate an understanding of how the Executive Assistant role can support business development performance.

This Executive Assistant will support all daily business administrative and coordination responsibilities, including preparation of presentations and reports, arranging meetings, tracking expenses and arranging travel, management of calendar, interfacing with external customers, and performing special projects as required. S/he will manage telephonic communications and perform other administrative tasks as necessary to promote effective and efficient operation of the department. The successful candidate must have the ability to understand the workflow of the organization and add value by being able to prioritize meeting requests and respond to phone calls on behalf of the leader they support.

Responsibilities include:

  • Author and/or provide critical review of correspondence
  • Generate charts, tables, memoranda, reports, correspondence and other materials with speed and accuracy
  • Attend calls and meetings; capture actions and maintain action list to ensure follow up
  • Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate
  • Establish follow-up system to ensure deadlines are met; assist in directing work, assigning and outlining tasks
  • Proactively identify ways to enable greater productivity and efficiency in role
  • Coordinate domestic/complex international travel arrangements across multiple and prepare expense reports
  • Coordinate and host customer visits, employee engagement meetings, and coordinate travel and customer engagements in support of trade shows
  • Calendar and Time Management
  • Coordinate monthly reports
  • Establish detailed knowledge of the RMD and Raytheon Leadership Team members and locations
  • Ability to work overtime as required (up to 5-10 hours per week)

This position requires either a U.S. Person or a Non-U.S. Person who is eligible to obtain any required Export Authorization.

Required Qualifications:

  • 12+ years of professional administrative experience supporting a senior leader in a large aerospace and defense organization
  • Demonstrated proficiency with Adobe and Microsoft office suite tools (MS Outlook, MS Word, Power Point, Excel)
  • Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports.
  • Experience in planning and coordinating complex international travel
  • Possess professional presence and phone/reception skills
  • Demonstrated excellent verbal and written communications skills
  • High School Diploma
  • Ability to support Executive(s) on international hours as needed

Desired Qualifications:

  • Knowledge of Raytheon's business, Policies and Procedures (Business Travel, Business Courtesies, etc.)
  • Demonstrated experience with handling confidential and non-routine information
  • Demonstrated experience interacting with senior levels of leadership effectively
  • Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment
  • Raytheon Qualified Six Sigma Specialist
  • Demonstrated experience with: Time Recording, Expense Reporting Systems, Internet search engines and map/direction utilities
  • Professionalism, Discretion and Sensitivity
  • Demonstrated knowledge of Raytheon visitor request/registration systems
  • Demonstrated experience utilizing interpersonal and collaborative skills
  • Demonstrated ability to prioritize work within a multi-tasking environment and stay on top of task deadlines and due dates
  • Demonstrated experience synthesizing data into information and have attention to detail
  • Candidate must have good judgment and take initiative to complete tasks in a self-directing manner
  • Candidate should also demonstrate attention to detail, have the ability to work independently with minimal supervision and adapt to changes in priorities in a fast-paced environment
  • Associates or Bachelor’s Degree
