Overview

HarperCollins seeks an Administrative Assistant to the Department Head to support a President and Publisher as well as an SVP, Deputy Publisher in the General Books Group. In this role you will gain exposure to the Harper, Harper Paperbacks, Harper Perennial, Harper Business, Broadside Books, and Ecco imprints.

Responsibilities

  • Administers the day-to-day office operations of the President and Publisher and SVP, Deputy Publisher, involving constant interaction with employees from all departments (e.g., Editorial, Marketing, Publicity, Finance, Art, etc.).
  • Coordinates demanding calendars, maintains organized files, provides substantial telephone coverage, screens/prioritizes mail, and maintains relationships with authors and agents.
  • Schedules and prepares for meetings of all sizes, involving the coordination of multiple busy calendars. 
  • Performs, under minimal supervision, administrative duties and assists in coordinating publication process on a select number of titles each season.
  • Makes travel arrangements, prepares itineraries, and processes monthly expense reports.
  • Attends editorial meetings with the responsibility of taking minutes, reviewing them with editors, and circulating them throughout the company.
  • Acts as the point person for the awards submission process, sending out monthly emails to editors about upcoming awards and deadlines.
  • Coordinates seasonal Launch meetings for all Harper imprints, and liaising between marketing and editorial from Launch through the planning process.
  • Handles special projects in the department as needed.
  • Provide administrative support to Associate Director of Publishing as needed.
  • Orders supplies for the department.

Qualifications

  • 4 year college degree or equivalent work experience
  • Must have minimum 2 years of work experience assisting someone in a management position
  • Office support experience preferred
  • Detail-oriented, well-organized, and able to prioritize responsibilities under pressure
  • Ability to interact with internal and external executives in a personable and professional manner
  • Ability to identify and troubleshoot departmental issues before they become problems
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Word, Excel, and PowerPoint

The salary range for this position is $50,700-$60,000.
