Description

  • Performs a variety of administrative / clerical support tasks for a specific department
  • Gathers, compiles, tracks and reports on information relevant to department from multiple sources
  • Sets up and maintains files, refers callers, arranges meetings and conferences, receives and distributes mail
  • Reviews drafts and finished documents for grammar usage
  • Compiles, reviews, and analyzes data
  • May design processes to enhance work flow
  • Assisting other Administrators in overload situations
  • Arranges catering for department meetings
  • Coordinates travel arrangements for department personnel, senior managers or department heads, including air, hotel, and rental car.
  • Schedule, record, and facilitate large meetings in-person and/or via web-ex/ skype
  • Coordinates meetings and corporate events.
  • Take minutes for meetings
  • Develop and/or update PowerPoint presentations, including facilitating during meetings and presentations
  • Assist with Employee Network communications such as newsletters and websites – proofreading, writing articles, conducting interviews
  • Set up global calls, manage recordings of recoded presentations
  • Set up and help manage and train employees on how to use Employee Network pages on JacobsConnect (intranet site)
  • Assist with budget administration for Employee Network Groups and Inclusion and Diversity Team

Qualifications

  • Passionate about inclusion and diversity
  • Experience working with Employee Networks
  • 5+ years’ experience is required. High School graduate or equivalent, specialized training or education may be substituted for part of the experience.
  • Adept at Microsoft Office including: Word, Excel, Outlook and Power Point is required.
  • Ability to work independently is required.
  • Strong administrative and business operations knowledge is preferred.
  • Experience with planning and coordinating large corporate events
  • Outstanding written communication skills
  • Experience managing budgets is preferable
