Job Purpose:

Assist with the coordination and execution of private event bookings at WeWork locations in Los Angeles, CA

Key Responsibilities:

  • Execute private event rentals.
  • Execute processes for event coordination.
  • Assist on-site with event execution. 
  • Maintain internal operating systems.
  • Maintain brand identity throughout programming and coordination

General Duties:

  • Collaborate with the Sales team to ensure all booking details are accurately communicated to meet client expectations.
  • Maintain relationships with event clients to ensure all requests are processed and questions answered.
  • Lead client walkthroughs to run through event details as needed.
  • Establish and foster new relationships that drive desks sales and increase brand awareness for the properties.
  • Provide on-site event execution ranging from room setup, AV coordination, clean up, and acting as the primary POC for event clients.
  • Schedule and train external event staff on an as-needed basis. 
  • Schedule furniture rentals and movers as well as AV staff and rentals.
  • Keep extensive notes and generate BEOs to track information communicated. 
  • Liaise with Community teams to ensure all parties are well-informed of event-related information. 
  • Liaise with property managers to ensure all parties are well-informed of event-related information, execute all facility related arrangements, maintain quality control.
  • Attend any meetings or training sessions or courses as required.
  • Assist fellow employees to perform similar or related jobs as and when necessary.
  • Continuously seek out opportunities to learn and improve the knowledge of the job.
  • Undertake any reasonable request made by a member of management.
  • Achieve set Key Performance Objectives and Indicators and complete all other duties, tasks and projects as required by the Team.
  • Effectively use the in house system to coordinate events for small and medium-sized Groups and Events ensuring processes and actions are followed in-line with company standards.

Qualifications:

  • Minimum 2 years of work experience producing events with extensive AV requirements, video production or a related field.
  • Technical knowledge of post production and audio visual projection process an asset.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ability to communicate effectively in a demanding fast-paced environment.
  • Hospitable demeanor.
  • Self-starter and fast learner.
