HR & Recruiting Coordinator

We have an immediate need for an HR & Recruiting Coordinator in our San Jose HQ location. This is a role requires polished and professional communications. This role will be the face of the HR & Recruiting team and liaise with candidates directly. The primary function of this role will be to schedule interviews, however, people and recruiting projects may be assigned.

This position will provide administrative support to the HR and Recruiting teams. This position is a highly visible role within HR and the entire company.

  • Overall administrative tasks including telephone inquiries, e-mail, internal and external mail, scheduling meetings, and calendar coordination for interviewers and meetings
  • Responsible for obtaining availability, creating schedules/agendas and sending out invites.
  • Responsible for the scheduling of all on-site candidate job interviews
  • Set up the travel arrangements for nonlocal candidates
  • Meet/greet and escorting candidates to interviews
  • Heavy follow up and interaction with internal team leads and administrative/executive assistants to schedule and coordinate candidate interviews
  • Technology component for this role includes the following: Google Calendar: heavy calendaring, scheduling and interview/meeting coordination, conference room booking; Lever - applicant tracking system and database

Required Skills and Experience

  • BA/BS degree in¬†Business, Human Resources or related discipline
  • 1-3 years administrative support experience
  • Significant sensitivity and respect for confidentiality, such as handling documentation of a highly confidential nature specific to employee data
  • Superior written and interpersonal skills with varying levels of management
  • Strong customer service skills in order to effectively respond to multiple employee inquiries
  • Strong organizational, project management and analytical skills
  • Ability to work independently and take initiative
  • Must be a self-starter and team player, polished and professional at all times, under deadlines and comfortable with the fast-paced, startup environment
  • Must have solid computer and web apps proficiency (G-Suite, specifically Calendar, Docs, Sheets, Slides)
  • Experience with HR applicant tracking systems
  • Must be highly organized, have superior attention to detail and communication skills
  • Assisting HR and Recruiting teams with the new hire on-boarding process, including preparation and distribution of communications to incoming employees


  • BA/BS degree in Business, Human Resources or related discipline
  • 4+ years administrative support experience
  • At least 1 year experience in HR/Talent acquisition support
