We are currently searching for an experienced Executive Administrative Assistant I to support the multiple senior leaders in Merchandising and Design, including Merchandising VP’s and Senior Design Managers. This position, located at the corporate headquarters in Freeport, Maine, is a critical partner with the department’s leaders and performs advanced, diversified, and confidential administrative duties. This position requires considerable judgment, tact, initiative and knowledge of company organization, policy, and personnel to accomplish work assignments.   • Supports multiple senior leaders in Merchandising and Design, including Merchandising VP’s and Senior Design Managers
  • Manages the calendar and time commitments of senior leaders. Schedules and coordinates appointments, and meetings ensuring leaders meet commitments
  • Manages complex travel arrangements for several leaders that travel quite frequently
  • Calculates, submits and reconciles expense reports
  • Plans meetings, large & small conferences and a variety of unique events
  • Coordinates, processes, and edits data from a variety of sources
  • Prepares reports and presentations, creating supporting charts, graphs, spreadsheets, and databases
  • Completes routine financial analysis and researches / prepares information for special projects, as requested
  • Screens and directs incoming calls, correspondence, and visitors. Responds to questions, inquiries and resolves problems from cross-functional partners, vendors and customers
  • Composes and edits correspondence on behalf of senior leaders and manages all communication in and out of department
  • Operates standard office equipment such as: personal computer and appropriate software packages, facsimile machine, calculator, etc.
  • Establishes and maintains unit records, files, and publications; maintains confidential files and materials
  • Organizes administrative work flow, prioritizing assignments and contacts
  • Monitors office supplies and initiates orders as needed

Health and Safety Requirement: Ensures compliance with the L.L.Bean comprehensive Health and Safety program by knowing and following all safety guidelines, policies, procedures and expectations. Takes immediate and appropriate action to rectify any unsafe conditions.


  • 4-year degree desired
  • High energy, drive, sense of urgency and work ethic
  • High level of intellectual capacity, ability to work in a fast paced very dynamic environment
  • Exceptional attention to detail and proven ability to synthesize, manage and prioritize large volumes of information / communication
  • Advanced Microsoft Office skills including Word, Excel, PowerPoint, Sharepoint skills and experience.  Workday experience a plus
  • Exceptional written and communication skills
  • Business and financial acumen to support a complex business unit
  • Experience supporting multiple executives and staff members with calendar organization, complex travel arrangements, event/meeting coordination and presentation design
  • Strong leadership and organizational skills with the ability to balance multiple priorities
  • Demonstrate a high sense of urgency in a fast paced, dynamic work environment / ability to work under pressure and meet deadlines
  • Highly collaborative while working with a results-oriented team
  • Curiosity and sense of humor
  • 3-5+ years of executive administrative assistant experience
