Administrative Assistant & Project Coordinator

Position Summary

As an Administrative Assistant & Project Coordinator, you'll support the entire Product Development team. You'll assume a wide range of responsibilities, all of which will require coordination, prioritization and attention to detail. This Administrative Assistant plays a critical role developing our Engineering culture here at DocuSign.

Responsibilities 

  • Preparing, processing and tracking purchase orders and assisting with vendor onboarding
  • In charge of office social events for the team such as monthly happy hours, off-sites and other ad-hoc office events
  • Organize and own Product Development lunch and learn
  • Assist in event planning with several large-scale All Engineering meetings annually such as our Developer Hackathons and Connect Conference
  • Collaborate with and act as liaison to other DocuSign Departments and with outside agencies and organizations 
  • Handle confidential and non-routine information and facilitate communication between appropriate departments 
  • Perform other administrative related functions delegated or assigned
  • Assist team with new hire seat assignments and computer peripheral set up
  • Provide backup support for some Sr. EAs tasks, partner with other Administrative Assistants across the organization as required

Basic Qualifications

  • 2+ years’ experience assisting at the executive level 
  • 3+ years’ experience supporting an entire office
  • 3+ years’ experience planning and executing events
  • Experience with Microsoft Outlook, Word, Excel, Power Point, Webex and Concur or similar applications
  • Experience with processing purchase request/purchase order and vendor onboarding using NetSuite or any other similar applications

Preferred Qualifications

  • Experience working in a software company or supporting technical teams
  • Excellent organization skills, attention to detail and ability to multitask 
  • Calm under pressure and capable of exercising good judgment to solve problems independently
  • Strong ability to communicate effectively with all levels of the organization. 
  • Enthusiasm, adaptability, flexibility and can-do attitude needed 
  • High level of integrity and dependability
