Role Purpose

We are seeking a highly organized and detail-oriented Executive Assistant with experience in Aconex, Visio, and proficiency in Microsoft Office Suite and SharePoint. This role primarily involves providing day-to-day account management support for Directors' accounts and Senior Management, including handling communication, document management, and administrative tasks. The ideal candidate will have a background in real estate development, consultancy or construction industries.

What this job involves

  • Serve as the primary point of contact for Directors and Senior Management, managing their calendars, emails, reports in a timely and efficient manner.
  • Utilize Aconex, an account management software, to oversee and organize project documents, correspondence, and approvals.
  • Maintain up-to-date and accurate organizational charts using Visio, ensuring clear and visually engaging representations of team structures.
  • Create polished PPTX presentations, showcasing project updates, executive summaries, or other materials as required.
  • Provide proficient assistance with day-to-day office software applications, including Excel, Word, and other tools commonly used in senior management levels.
  • Act as a liaison between Directors, clients, vendors, and internal teams, facilitating effective communication and coordination of key activities.
  • Support Directors in preparing for meetings, including agenda creation, collating relevant documents, and synthesizing data as required.
  • Assist with travel arrangements, expense management, and other administrative tasks as needed.

Desired skills and experience for this

  • Proven experience as an Executive Assistant, preferably with specialization in day-to-day account management using Aconex.
  • Proficiency in Visio for creating and updating organizational charts is essential.
  • Strong PowerPoint skills, with the ability to create visually appealing and impactful presentations.
  • Solid expertise in SharePoint, Microsoft Office Suite, including advanced Excel and Word skills.
  • Experience working directly with senior management or executives is highly desirable.
  • Background in real estate development, consultancy, or construction industries is preferred.
  • Excellent communication skills, both written and verbal, with the ability to effectively interact with individuals at all levels of the organization.
  • Outstanding organizational and time management abilities, with a keen eye for detail.
  • Proactive mindset with the ability to anticipate needs and prioritize tasks accordingly.
  • Discretion and professionalism when handling sensitive or confidential information.
  • Female candidate preferably.
