Responsibilities:

  • Maintain office standards by tracking, ordering, restocking and coordinating office maintenance
  • Uphold office standards and aesthetic by conducting daily walkthroughs
  • Support facility-related employee onboarding and off boarding processes
  • Manages administrative business documents
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Answer all incoming calls and redirect them or keep messages
  • Directs visitors by maintaining employee and department directories; giving instructions.
  • Update appointment calendars and schedule meetings/appointments
  • Maintain security by following procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
  • Maintains safe and clean reception area, kitchen/lunch room/conference room by complying with procedures, rules, and regulations.
  • Receiving and sorting daily mail/deliveries/couriers
  • Prepare outgoing mail by drafting correspondence, securing parcels etc.
  • Check, sort and forward emails
  • Refilling all office and kitchen supplies, snacks and drinks
  • Monitor office and kitchen supplies and place orders when necessary
  • Monitor office and kitchen expenses and costs
  • Keep updated records and files
  • Light administrative support for company travel
  • Take up other duties as assigned (travel arrangements, filing, photocopying, collating, faxing etc.)
  • Plan and execute in house or offsite activities like happy hours, team buildings and other celebrations (occasional evening event coverage may be required)

  • Support other site office administration as needed
  • Working hours: Monday - Friday 9:00am-6:00pm

Requirements:

  • Proven experience as Office Administrator or relevant position
  • Knowledge of office management and basic bookkeeping
  • Excellent event planning skills and experience (200+ people)
  • Excellent knowledge of MS Office (especially Excel and Word)
  • Strong communication both written and verbal and people skills
  • Familiarity with office machines (e.g. fax, printer etc.)
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • Customer service orientation
  • Ability to lift and/or move up to 30 pounds
