Position Overview:

Canada Goose’s European head-office Receptionist will be the first point of contact in greeting both internal and external stakeholders and guests. A resourceful self-starter who is energetic, personable, responsible and can multi-task in a fast-paced environment with ease.

Key Responsibilities:

  • Welcome all visitors to the Reception area
  • Guides and assists guests with
  • Manage and update visitors  dashboard
  • Answer all incoming phone inquiries and transfer calls to appropriate individuals
  • Manage all meeting rooms  bookings tidiness when needed
  • Sort and distribute all incoming and outgoing company mail and order postage
  • Manage all local courier deliveries & prepares outgoing courier requests (creating webstamps)
  • Coordinates new employee jacket program
  • Maintain the tidiness of the Reception area and mailroom
  • Manage catering requests as required
  • Orders food for weekly breakfast and putting it away
  • End to end organization of Board Meetings of CG AG or other meetings upon request
  • Facilitation and logistics of town halls Manage the diary of the finance director
  • Submitting the expenses for the finance director
  • Demanding the beverage money (send reminder emails) and forward the money to finance department à hang up new list every month
  •  Organizing the signatures for contracts and scanning, sending and filing of contracts
  •  Facilitation and logistics of office space, lights, furniture etc
  • Ordering of offices supplies, coffee, tea, medicine and other needed elements
  • Update office supplies room
  • Refilling of soda machine as needed and vendor management
  • Filling and emptying of dish washer and stowing in cupboards
  • Assisting in coordinating appointments with technicians
  • Responsible of thePetty Cash and keep the company credit card list updated
  • Compare Credit card statement with receipts and submit to finance
  • Kitchen tasks: Keeping refrigerator clean  refilling of Coffee in coffee machine, putting away cardboard boxes, keep the place tidy and everything filled up
  • Manage deliveries and timley orders of supplies, food, drinks and other items as needed
  • Brief cleaning personal and third parties
  • Filing order confirmations, internal lists (iLobby, borrowing jackets, credit card etc)
     
  • Experience, Education and Designations:

  • Diploma: Office Administration or equivalent
  • Minimum 3 years as a corporate receptionist
  • Intermediate level with Microsoft Office; Word, Excel and Outlook
     
  • Knowledge, Skills and Attributes:

  • Must have excellent communication skills, both written and verbal with a strong command of the English language
  • Excellent knowledge of MS Office Products , especially MS PowerPoint
  • Friendly and welcoming disposition is a must
  • Effective telephone manner and professional demeanor
  • Must be discreet and safeguard confidential information
  • Strong organizational skills with ability to multi-task and work well under pressure
  • Must have a strong work ethic with attention to detail with a proactive approach to the role
