Job Description

Job Summary/Primary Purpose:

The Executive Assistant provides comprehensive and confidential administrative support to the Senior Kroc Officer and Officer for Congregational Life. Supports and enables the senior leadership of the Kroc Center to advance the organization’s missions and goals. Coordinates efficient execution of administrative duties to achieve objectives and maintain excellence. 

Essential Duties and Responsibilities:

  1. Provide administrative support, managing information, resources and staff as assigned.
  2. Schedule, coordinate, and attend both internal and external meetings in support of Leadership team members as requested.
  3. Maintain the Officers’ calendars, SharePoint staff out of office calendar, board room reservation calendar, and church calendar.
  4. Coordinate Advisory Council and Director’s team meetings and provide support with agendas and minutes.
  5. Research/schedule travel arrangements for team members as requested.
  6. Prepare packets, reports and documents for meetings, programs, and activities as requested by the Officers.
  7. Prepare expense reports and associated receipts and documents.
  8. Prepare documents, letters, and digital assets for worship services, and other special events.
  9. Manages congregation software/database.
  10. Assure proper resources are assigned to maintain cleanliness of administrative work and conference spaces.
  11. Oversee upkeep (including supplies) and maintenance on resource room equipment, including copiers, laminator, postage machine, etc.
  12. Assign and manage proper handling of all postage services, both incoming and outgoing, including distribution and collection.
  13. Train staff on new programs/office tools to ensure efficiency throughout Kroc Center.
  14. Exhibit professional behavior, maintaining a high level of confidentiality in all areas, and always promote a positive and professional working relationship with the public, business community, and The Salvation Army Officers and staff.
  15. Driving is an essential role of the position.
  16. All other duties as assigned.

Supervisory Responsibilities: None

Education and/or Experience: High school diploma or equivalent (GED). Prefer an Associate’s Degree in Business or related field and at least 2 years related experience in administrative work. Previous supervisory experience or abilities in an administrative office environment preferred.

Additional Information

Qualifications: The requirements listed below are representative of the minimal knowledge, skill, and/or ability required for this position.

  1. Excellent organizational, verbal, writing, and proofreading skills
  2. Knowledge and experience in Windows 365, Canva, SharePoint, Planning Center and church presentation software preferred.
  3. English proficiency required; Spanish language helpful.
  4. Ability to articulate thoughts and ideas effectively.
  5. Exceptional flexibility and ability to work on multiple projects or tasks simultaneously.
  6. Attention to detail, creative problem-solving, and conflict resolution skills.
  7. Demonstrated ability to handle confidential matters.

Other Qualifications: Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved through The Salvation Army Fleet Safety Program to drive either a Salvation Army or personal vehicle on Salvation Army business.

Certificates, Licenses, Registrations: Must successfully complete Safe from Harm training as established by The Salvation Army.

Physical requirements include good speaking, hearing and vision. Excellent manual dexterity. Ability to stand, bend and reach for extended periods of time, dexterity of hands and fingers to operate equipment. This position will require the ability to lift and/or move more than 30 pounds occasionally.

Working Conditions: The work environment is a community center with light to moderate traffic and noise levels. The majority of the workday will be in a mixed environment including offices, auditoriums, and other program spaces. In addition, portions of the primary work facility may be considered humid (indoor aquatics center) while other locations (gymnasium) may be considered moderately loud in nature.
