Abt Global is seeking a suitably qualified individual to fill the role of 2 x Program Coordinators, funded by the Australia - Papua New Guinea Economic Partnership (APEP) Program. This role is based in Port Moresby, Papua New Guinea and is open to PNG Citizens.

About the Program

The Australia – Papua New Guinea Economic Partnership (APEP) is a multi-sectoral investment which commenced in April 2022 and runs through February 2028 with the possibility of a two-year extension. APEP is delivered as part of the broader PNGAus Partnership which brings strong alignment and integration with Government of PNG (GoPNG) and Government of Australia (GoA) development priorities. APEP is also a primary vehicle and coordination point from which Australia delivers its economic development support to PNG.

APEP works collaboratively with other Australian investments and development partners, to deliver impactful and sustainable development outcomes across four key engagement areas:

  • EOPO 1 - Safeguarding Macroeconomic Stability
  • EOPO 2 - Supporting More Efficient and Inclusive Markets
  • EOPO 3 - Fostering Inclusive Agricultural Growth and Expanded Livelihoods
  • EOPO 4 - Catalysing Economic Research and Dialogue

Gender equality, disability social inclusion (GEDSI), women’s economic empowerment, and climate resilience are central to APEP and integrated across all engagement areas and activities.

About the Opportunity

Under the guidance of the Corporate Services Team Leader, the Program Coordinator will form part of a pool of coordinators who will provide high level day to day operational support to the APEP Program in the areas of administration, logistics, procurement, human resources, procurement, financial management, contract management, workplace health and safety.

The Program Coordinator will work collaboratively with the various workstreams in APEP and counterparts in the Shared Services team in ensuring that all service requests are responded to effectively and efficiently.

The Program Coordinator will be expected to provide general support services to work streams and have a specific focus or specialised area which will be determined and agreed with the preferred candidates.

Key Responsibilities

The Program Coordinator will undertake the following responsibilities:

  1. Lead the coordination of internal and external communications on meetings, and events with program partners and key stakeholders such as GoPNG departments and agencies.
  2. Pro-actively assist various workstream teams with program procurement, contracting, procurement, financial management, logistics, travel, events management ensuring compliance to the Operations Manual and value for money principles are adhered to.
  3. Work with the Corporate Services Team Leader in managing recruitment activities by ensuring that all requirements are adhered to before endorsing requests to HR Shared Services.
  4. Assist with maintaining up to date APEP personnel data in time for various periodic reporting (monthly, six-monthly and annual).
  5. Assist with the organisation of the Program SharePoint filing system.
  6. Assist the Corporate Services Team Leader with:
    1. maintaining up to date tracker for Contract Input Codes
    2. monthly top-up for APEP personnel
    3. maintaining up to date contact details of APEP personnel
    4. implementing workplace, health and safety initiatives within APEP
    5. maintaining up to date operations related risk management tracker
    6. providing necessary support to the team to address any logistics, IT related concerns
    7. compiling of timesheets (LTA, STA, LES) prior to endorsing to HR or Finance for payment
  7. Undertake any other tasks as may be required by APEP Senior Leadership Team.

Expected Outputs

The expected outputs of this role are:

  • Well organised internal and external stakeholder communications, meetings, and events.
  • Effective program implementation, recruitment, contracting, procurement, budget management, and logistics.
  • High quality and timely administrative assistance to Unit members, including in record keeping and stationary purchasing support.
  • Integration and promotion of principles of gender equity, disability, and social inclusion in all aspects of this role.
  • Support to the Unit’s compliance with all relevant policies and procedures regarding child protection and child safeguarding, for the maximum protection of children.
  • The Unit’s compliance with DFAT and Abt Associates policies and procedures.
  • Other duties as directed.

About You

  • Minimum of 3 years experience in providing general administration, office support
  • Experience working in diverse teams and coordinating program administration.
  • Ability to work effectively in a fast-paced, changing environment, manage multiple tasks and demands, and establish priorities.
  • Strong communication and writing skills, with proven ability to prepare minutes, reports, and briefs for internal and external stakeholders.
  • Excellent computer proficiency, particularly in MS Office.
  • Tertiary qualifications in policy, finance, economics, business, development, or another relevant field (desirable).
