Position Summary 

Reporting to the Senior Director of Marketing and Communications the Events Manager/Events Social Media Manager is responsible for the development and execution of all special event activities for the Gabelli School of Business, including graduation; speaker series, webinars, and symposiums for academic departments and for research centers, including large-scale events for the O’Shea Center for Credit Analysis and the Center for Global Security Analysis. In addition, the Events Manager is responsible for any Dean’s Office events that do not fall under the oversight of the Dean’s Office staff. This role also will ensure that all events are promoted in advance

and documented during and after, via the School’s social media channels.

This job entails working hours when events are occurring during the day, evening, and weekend as needed. This position is supported by an events manager who is responsible for those events occurring through the O’Shea Center for Credit Analysis and the Center for Global Security Analysis, but who also assists on a broader range of events throughout the year. In addition, this position includes travel to locations outside of the Lincoln Center campus, to venues on the Rose Hill campus, and to those event locations associated with external partners.

Essential Functions 

  • Plans, organizes, and implements all aspects of on-site and digital events across the School and, when applicable, in conjunction with external partners.
  • Creates and maintains the overarching event calendar for the year, reaching out to the members of the Gabelli School community well in advance of the beginning of the academic year to ensure long-range planning goals and objectives are established, and that upcoming events are submitted in a timely and orderly fashion.
  • For Research Centers or units hosting multiple events, works directly with stakeholders to create mini plans that support their specific needs to ensure cost efficiencies and
  • consistency in the planning, execution, and promotional process.
  • Manages all catering, audio visual, security, and speaker engagement aspects of
  • event planning, (see detailed descriptions below) meeting with clients well in
  • advance to determine needs leading up to the event, during the event, and after
  • the event. Creates the necessary documentation to ensure the events run
  • smoothly and are adequately staffed if additional help is needed beyond paid
  • staff. This would include the coordination of graduate assistants and volunteers.
  • Works with the clients who are the sources of the event activity, and their support staff, to create a detailed Run of Show, to build online agenda pages within Eventbrite, or on one of the University’s registration systems, and to also develop the online registration functions to support event registration and monitoring of attendance. Sets caps for registration based upon room capacity and client specifications.
  • Ensures that all events are posted on the public facing event calendar for the Gabelli School of Business, currently located in Gabelli Connect, and that these events also are distributed at the University level, through its event calendar.
  • Manages the booking of all rooms and venues in and outside of the Lincoln Center campus, ensuring that this is done well in advance of the event dates. Manages, with facilities, the securing and moving of all furniture required for events, getting approval from clients for seating arrangements for the audience and stage set up for panelists and guests.
  • Thoroughly itemizes all audio-visual needs including mics, video screens, live streaming, video recording and editing, well in advance of event and relays them to Gabelli IT. Also handles all technical needs of online events in conjunction with external production firm. Schedules all tech checks 1-2 weeks in advance of events for in-person and on-site events, inviting Gabelli IT and external vendors as needed. Collects and catalogs any slide presentation or videos running during the events and shares them with Gabelli IT or external vendors.
  • Works with the Associate Director of Graphic Design and Branding along with the Senior Director of Marketing and Communications to develop all email invitations, digital flyers, programs, and video and digital assets required to support the event’s marketing efforts, as well as any activities occurring during the event.
  • Handles all catering requirements, submitting orders well in advance of the actual event date and ensures that budget numbers for these services are provided at the time the order is placed.
  • Manages the distribution and collection of all photo/video releases for speakers and panelists, and minors who may be photographed and/or video-taped during events.Ensures release signage is prominently placed outside of venue space and that the photographer records and dates the file.
  • Books the photographers and/or videographers for the event where Marketing has agreed in advance to provide these services. Provides timelines and Run of Show to photographers and videographers. The Senior Director or the Associate Director of Communications will provide guidance of shot lists. Manages the storage and cataloging of all event photography. For smaller events, takes photos on cell phone or on department cameras that are used for social media. Enlists individuals to take photos for social media at events where Marketing events staff is not in attendance.
  • Orders and maintains the supply of all promotional items for events run by the Marketing and Communications team, as well as for the departments that request them for smaller events. Maintains all supplies and signage for events, and takes inventory of storage closet content at both Lincoln Center and Rose Hill.
  • Plans and executes highly complex graduation ceremonies that require minute attention to detail and a commitment to working overtime.

Required Qualifications: Education and Experience 

  • Undergraduate degree in any area
  • 5+ years of experience in planning and execution of small- to large scale, on-site events as well as remote events.

  • Excellent communication skills across diverse audiences and

  • Demonstrated ability to write and post compelling social media event content
  • Expert knowledge of Microsoft Excel, Word, and Powerpoin
  • Ability to work under tight deadlines
  • Ability to work nights and/or weekends if needed, as well as the ability to be flexible on the three days each week this position must report to the office.
  • Superior project management skills

Preferred Qualifications 

  • Experience in college or university event planning
  • Familiarity with running University events

Minimum Starting Salary $70,000

Maximum Starting Salary $76,000

Note Salary is commensurate with qualifications, experience, and skills.
