The Operation teams at Shopee covers the operational end-to-end process, from when the buyer searches for a product listed on the Shopee platform, to the moment the buyer receives the products. The team analyses and monitors operational KPIs across the region and conducts root cause analysis when operation performance fluctuates. The Operations team comprises Customer Service, Payment, Listings, Warehouse, Logistics, Seller Operations and Fraud.
Job Description:
- Administrative Support: Provides daily administrative assistance for Middle Mile backroom operations, including document control, scheduling, stakeholder coordination, and general support.
- Attendance Monitoring: Oversees daily attendance of backroom personnel, validates records with manpower agencies, and resolves discrepancies promptly.
- Reverse Billing: Validates and reconciles FMS attendance for billing accuracy; coordinates attendance disputes with backroom staff and FinOps PICs; ensures all unbilled entries are validated and submitted.
- Accrual: Uploads validated attendance data into the FinOps Accrual File to enable accurate payroll and billing processing.
- Account Management: Creates, updates, and maintains FMS accounts for Drivers and Backroom personnel, including generating Ops IDs, requesting Shopee mobile emails, managing access rights, and ensuring compliance with access control and audit policies.
- Equipment & Supplies Management: Manages office supplies and equipment inventory, oversees repairs, and ensures all backroom assets remain functional.
- Documentation & Reporting: Prepares and maintains documentation on attendance, billing, access control, and account creation; consolidates accurate and compliant reports for management.
- Ops Support: Supports day-to-day operations, including NFTE in/out backup, document scanning, manpower and supply coordination, and offender report processing.
Requirements:
Qualifications
- Graduate of any bachelor’s degree.
- 1–2 years of relevant experience, preferably in warehouse, e-commerce, logistics, or administrative operations.
- Strong organizational and coordination skills with high attention to detail.
- Proficient in MS Excel, Google Sheets, and other reporting or office tools.
- Excellent written and verbal communication skills.
- Able to multitask, work with minimal supervision, and meet deadlines.
- Demonstrates integrity, accountability, and compliance with company policies.
