THE DEPARTMENT
The following teams make up the Technology department: Business Analysis and Quality Assurance, Applications Development, Applications Support, and Engineering. The group identifies and develops technological strategies that support GVI’s business goals and objectives to ensure internal and external partners are provided with stable systems. These include: all desktop, network, phone and email systems, applications (reservations and operations systems), websites, and Internet access.
THE POSITION
The role provides operational, strategic, and administrative support to the CIO and Technology Leadership Team. It oversees day-to-day executive operations, financial and vendor management, tech planning processes, communications, people operations support, and risk/readiness activities to ensure Technology runs efficiently and in alignment with business objectives.
The Technology Operations & Planning Manager is responsible for the following results:
Executive & Team Operations
- Manage CIO calendar, leadership cadence, and meeting operations, ensuring preparation, follow-ups, and action completion.
- Lead weekly Tech Ops meetings, including agendas, notes, and risk/dependency tracking across Engineering, Data/AI, Security, and IT Ops.
- Plan and execute Technology internal events such as All-Hands, demo days, hackathons, and leadership offsites.
Financials, Budgeting & Vendor Management
- Partner with Finance on Technology budgeting, forecasting, and monthly variance reporting.
- Manage the procure-to-pay process: vendor onboarding, SOWs, POs, invoices, accruals, and renewal oversight.
- Maintain vendor and contract inventories and support light commercial reviews/renegotiations.
- Monitor SaaS license utilization and software renewals to ensure cost control and compliance.
Planning & Portfolio Support
- Coordinate annual and quarterly planning cycles (OKRs, PI/quarterly objectives) and maintain the master Technology calendar.
- Support portfolio operations: intake tracking, initiative status updates, and risk and dependency dashboards.
- Partner with Value Delivery teams to standardize templates for business cases, status reports, and retrospectives.
Communications & Culture
- Draft and distribute CIO and Technology communications (newsletters, announcements, change updates, incident comms).
- Maintain Technology knowledge repositories—Confluence, SharePoint, org charts, SOPs, and onboarding materials.
- Support engagement initiatives, recognition programs, surveys, and culture-building activities across global teams.
People & Administration
- Support hiring workflows, onboarding/offboarding, and contractor coordination in partnership with HR
- Track learning budgets, training completions, and certification records.
Risk, Compliance & Readiness
- Maintain audit documentation, access reviews, vendor diligence files, and DR/BCP readiness materials.
- Support incident communications, after-action reviews, and risk tracking.
- Maintain operational runbooks and readiness playbooks in partnership with the CISO.
Additional Responsibilities
- Oversee hardware asset and software license hygiene with IT Ops; reconcile records quarterly.
- Coordinate travel and logistics for leadership offsites, conferences, and planning events.
- Develop vendor scorecards to support performance reviews and renewal decisions.
- Assist with change-management communications, FAQs, and training.
- Maintain simple KPI dashboards (budget, renewals, engagement, cadence compliance).
- Identify and implement small process improvements, automations, and template enhancements.
EDUCATION
The preferred candidate will hold a bachelor’s degree in a related field; or five to eight years related experience and/or training in in Technology Operations, Business Management, PMO, or Executive Operations.
EXPERIENCE PREFERRED
The preferred candidate has noteworthy experience in the following areas:
- Strong knowledge of budgeting, procurement, and vendor management.
- Experience supporting technology, portfolio, or transformation programs.
- Excellent communication, presentation, and slide development skills.
- Demonstrated ability to handle confidential information with discretion.
- Proficiency in Microsoft 365 (Excel, PowerPoint, Teams, SharePoint) or Google Workspace.
- Experience with workflow and ITSM tools such as Jira, Azure DevOps, Confluence, or ServiceNow.
- Familiarity with ERP and procurement systems (Dynamics 365, NetSuite, SAP, Coupa, Ariba).
- Ability to build dashboards and reports using Power BI, Smartsheet, or similar tools.
