We are currently searching for an Executive Administrative Assistant 2 who will support our Senior Vice President/GMM of Merchandising, located in Freeport, Maine. The position is a critical partner for this member of the Senior Executive team and performs advanced, diversified, and confidential secretarial and administrative duties. This position requires considerable judgment, tact, initiative and knowledge of company organization, policy, and personnel to accomplish work assignments.


  • Serves as liaison between senior managers, managers, and external contacts. Screens channeled requests, schedules appointments and meetings, and resolves problems requiring in-depth knowledge of company policies and procedures
  • Ensures Senior Vice President has accurate and timely information in preparation of meetings and day to day business activities
  • Coordinates, processes, and edits data from a variety of sources. Prepares reports and presentations, creating supporting charts, graphs, spreadsheets, and databases
  • Independently researches and prepares information for special projects as assigned
  • Routes and answers routine correspondence for Senior Vice President.  Drafts confidential correspondence, edits documents, prepares meeting minutes, etc. in support of unit activities
  • Operates standard office equipment such as: personal computer and appropriate software packages, facsimile machine, calculator, etc
  • Schedules travel arrangements, coordinates meetings and conferences ensuring Senior Vice President meets commitments. Calculates and submits expense reports as necessary
  • Administers unit record keeping system. Ensures records, confidential files, and publications are maintained according to company policy and procedure, approving requests for release of information as necessary
  • Monitors office supplies and initiates orders as needed
  • Organizes and sets up meetings, prepares meeting agendas, arranges meeting room spaces and coordinates catering requests
  • Assists in budget preparation
  • Tracks travel and prepares expense reports
  • Tracks product samples
  • Assists leader with Workday system
  • Assists with building presentation boards and manages creative images

Health and Safety Requirement: Ensures compliance with the L.L.Bean comprehensive Health and Safety program by knowing and following all safety guidelines, policies, procedures and expectations. Takes immediate and appropriate action to rectify any unsafe conditions.



  • Use of Microsoft windows products – including high proficiency in Outlook, Excel, Word and PowerPoint
  • Strong communication skills – written and oral
  • Critical thinking skills – able to use judgment in prioritizing requests of SVP and problem resolution
  • Project Management skills – able to independently manage small projects
  • 3-5 years of experience as an executive administrative assistant.
