QUALIFICATIONS:

1. High school diploma; some college preferred.

2. Minimum of five (5) years of successful experience as an executive assistant or administrative secretary, with experience in the education field preferred.

3. Proficiency in the use of Microsoft Word, Excel, Power Point and Access.

4. Proficiency in general office skills, including office management and organizations.

5. Excellent proofreading and grammatical skills.

6. Self-motivated with strong communication and interpersonal skills.

7. Demonstrated ability to work in a high-stress environment.

8. Demonstrated ability to prioritize tasks and coordinate multiple projects.

SALARY/PAYGRADE:

$53,260 – CP9

Salary Range (based on experience) as set by the Board of Trustees for the school year 2025-2026

ESSENTIAL FUNCTIONS:

  1. Monitor general legal and litigation activities related to complaints and grievances (Local, OCR, EEOC, SBEC, and TEA), lawsuits, contracts, public information requests, subpoenas, and records management to ensure that all appropriate documents and responses are filed in a timely manner.
  2. Coordinate the gathering of information and documents from various departments and campuses to respond to subpoenas, record requests, litigation discovery, complaints, in-house investigations, and/or grievance hearings.
  3. Coordinate and monitor with the General Counsel, Assistant General Counsels and/or outside legal firms the preparation of necessary documents related to litigation, contract reviews, employee matters, student matters, and any other legal matters.
  4. Assist campuses and departments in resolving general legal issues.
  5. Assist campuses and departments in interpretation and implementation of District policies, procedures and/or court documents, including questions on divorces decrees and custody orders.
  6. Assist campuses and departments in interpretation and implementation of District policies, procedures and/or court documents, including questions on divorces decrees and custody orders.
  7. Assist attorneys with court orders pertaining to child custody order, expunctions, sealing of student records and provide guidance to campuses as needed.
  8. Assist attorneys with Public Information Act requests within strict timelines and ensure compliance by interfacing with requestors and responding departments, monitoring specified timelines and the calculation of costs associated with the requests, assist in drafting correspondence to the Texas Attorney General, and assisting the attorneys in the management of this process.
  9. Draft basic legal pleadings and correspondence and assist attorneys with legal filings as needed.
  10. Compose routine correspondence and memorandum in accordance with instructions from General Counsel or Assistant General Counsels.
  11. Communicate effectively in both oral and written form and provide judgement and discretion when handling confidential information.
  12. Assist in management of the Legal Services office, in an efficient and organized manner, including an organized information system for maintaining paper, electronic and data information files.
  13. Place, receive and screen telephone calls and accurately record office messages in a high-stress, high-volume work environment.
  14. Maintain a schedule of all office administrators’ appointments and meetings.
  15. Assist in Texas Association of School Board (TASB) Policy Updates and local district updates to Board policy. Coordinate policy changes with TASB to update the on-line policy manual, maintain the District’s paper policy manual and the history of the District policy.
  16. Assist district administrators with Administrative Regulations manual and process for online access.
  17. Maintain and organize project and litigation files.
  18. Assist in the preparation of Board agenda cover sheets and backup documents for monthly board meetings.
  19. Assistant campuses and/or departments with archiving surveillance videos.
  20. Prepare department budgets and purchase orders for approval by the General Counsel, monitor budget accounts, process department travel and reimbursement forms, and order department office supplies.
  21. Facilitate the scheduling and preparation of superintendent and legal services conference rooms for meetings and appropriate notification to participants.
  22. Maintain confidentiality of data and information related to the office operation.
  23. Provide direct secretarial support to the General Counsel and Assistant General Counsels, as well occasional support to the Chief of Staff and Superintendent.
  24. Maintain regular, prompt and reliable attendance.
  25. Perform other duties as assigned by the Superintendent or General Counsel.
