Position Title: Project Specialist (P2)

Role

The Project Specialist plays a critical role in supporting project operations through efficient financial tracking, vendor coordination, and budget management. This position ensures timely processing of purchase orders and invoices, maintains accurate reporting for stakeholders, and supports the financial lifecycle of projects from initiation through completion.

Responsibilities

  • Purchase order management: Cut and manage purchase orders (POs) weekly, ensuring accuracy and compliance with internal processes.
  • Spend tracking & reporting: Maintain detailed records and provide regular updates to internal teams.
  • Set up initial project budgets and convert them as projects progress through various phases.
  • Collaborate with finance and project teams to ensure budget alignment.
  • Respond to vendor inquiries promptly and professionally.
  • Ensure timely processing of invoices and resolve any discrepancies.
  • Provide accurate and timely reporting to both internal and external stakeholders.
  • Facilitate the processing, obtaining, and delivery of checks for project-related expenses.
  • Prepare summaries, dashboards, and ad hoc reports as needed.

Education/Certifications

  • Bachelor's degree or equivalent work experience

Experience/Minimum Requirements

  • 2+ years of project coordination, finance or procurement experience
  • Familiarity with project tools, collaboration software, and data analysis
  • Effective communication and problem-solving skills
  • Ability to work collaboratively
  • Understanding of project management methodologies preferred not required

Working Conditions: This role falls into our hybrid work model working in the office Tuesdays, Wednesdays, and Thursdays. On Mondays and Fridays, teammates on the hybrid schedule will have the option to work from the office or home. There is an expectation of collaboration with teammates and stakeholders for moments that matter that could require travel.

Compensation

The salary range offered for this position is $68700 - $94400 annually. A candidate's offer is determined by various factors including but not limited to, depth of experience, role-related knowledge and skills, relevant education or training, internal alignment, and work location. Depending on the position offered, the compensation package may also include incentive compensation opportunities in the form of a discretionary annual cash bonus or commissions, and equity incentives.
