Position Responsibilities for all Aviation Operations (Av Ops) Coordinator Positions: 

  • Facilitates the movement of passengers and cargo on USAP aircraft by coordinating required support activities between various USAP agencies & ASC departments. 
  • Utilizes Google Earth, AFF, and other flight tracking software to monitor aircraft movements. 
  • Enters mission data and causes for delays/aborts/cancellations and generates multiple reports in Maximo, Pipeline (SQL software), Microsoft Access/Excel, and other programs to facilitate, track, and coordinate USAP’s planned on-continent cargo and passenger movements. 
  • Interacts with the NSF, their sub-contracting agencies, military personnel and other agency officials in a professional and tactful manner. 
  • Maintains geographic coordinates documentation. 
  • Ensures compliance with applicable Safety, Environmental, Health, and Waste Management policies/procedures and ensures that safety is the utmost priority in the workplace. 
  • Performs other duties as required.  

Helicopter Operations Av Ops Coordinator – Day Shift: 

  • Maintains communication with pilots, field parties and/or field camps as required. This responsibility includes relaying updates on weather and other environmental conditions, emergent safety factors, and all changes in support requirements to relevant agencies and participants. 
  • Assists Av Ops leadership in the execution of allocated flight hours based on NSF priorities by providing input/making decisions as to more efficient ways to conduct flights given current/changing conditions. 
  • Responsible for visually clearing the McMurdo heliport and communicating hazards to inbound and outbound traffic. 
  • Gathers critical weather observations from remote field camps and weather stations to relay to flight crews. 

Fixed Wing Operations Av Ops Coordinator – Day Shift 

  • Maintains day-of flight communications with crews to compile accurate flight data for entry 
  • Collaborates directly with science and operational groups to plan and prepare cargo manifests on light and medium lift aircraft 
  • Disseminates flight schedule information and updates to the USAP community via Public Area Displays, USAP intranet publications, email & other methods. 
  • Assists Av Ops leadership in the coordination of support for aircraft, passengers, and cargo from other National Antarctic Programs transiting through McMurdo & South Pole Stations. 
  • Attends flight-planning meetings with science and operational groups when possible. 
  • Maintains fuel cache inventory documentation. 
  • Compiles presentation materials for twice weekly meeting attended by all Fixed Wing schedule stakeholders. 

Dual Helicopter and Fixed Wing Operations Av Ops Coordinator – Swing Shift 

  • Works autonomously out of the helicopter hangar to implement evening operations for the helicopter operation including adjusting scheduled missions to meet current circumstances, communicating changes to passengers and crews, clearing the McMurdo heliport for potential hazards, and maintaining communication with field parties anticipating flights. 
  • Assisting the Helicopter Operations Supervisor and Fixed Wing Operations Supervisor with scheduling flights for the next day. 
  • Re-publishing the Helicopter and Fixed Wing Schedules when changes need to be made after 1730 or “town hours”. 
  • Fixed Wing flight data entry for flights that return after 1730 or “town hours”. 
  • Monitoring & responding to Fixed Wing communication streams while actively working from the helicopter hanger. 

Required Education, Experience, Certificates and Licenses: 

  • High School diploma or equivalent 
  • Two years’ experience in administrative duties customer service, reporting or data management is required. 

Expected Skills and Competencies: 

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) 
  • Must be skilled in word processing, spreadsheets and database software, and have strong written and verbal communication skills. 
  • Must be willing to work swing shift or evening shift, if necessary. 

Preferred: 

  • Experience with field work, science support, or remote logistical support is strongly preferred. 
  • Experience in aviation logistical support or passenger and cargo movement, to include documentation, expediting, and tracking is strongly preferred. 
  • Recent USAP experience, especially any work related to field logistical support, is strongly preferred. 
  • Familiarity with radio communications, particularly in the aviation or emergency response realms, is strongly preferred. 

Physical and/or Other Requirements

  • Willingness and ability to deploy to Antarctica for extended periods 
  • Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica 
  • Successful completion of drug screening and background check required by employer 
  • Successful completion of Federal Background Check required by the NSF 
  • Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position. 
  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position. 
  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives. 
  • Valid Driver’s License issued in the United States 
  • Must be able to obtain and maintain facility credentials/authorization. Note: US Citizenship is required for facility credentials/authorization at this work location.
