Job Description

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Support Implementation & Buying team on day-to-day operations.
  • Support administrative works of Implementation & Buying team
  • Handle own set of accounts with accountability and responsibly
  • Assist Planners with recommendations

DELIVERABLES

  • Build strong relationship with media owners
  • Able to schedule tv spots using TARDISS* system to enhance scheduling performance and execute booking via BCC system.
  • Do TV Postbuys
  • Quality control on all buys.
  • TARDISS tools – Publicis Propriety tools to learnt upon joining

Ensure smooth communication with planning teams:

  • Fully understanding the requirement for scheduling and buying brief
  • Two way communication process and suggestions to help planners
  • Reconcile with media owners on bookings and billings respectively. Able to negotiate for compensations.

Accuracy and attention to details:

  • Quality control in bookings and ensuring its accuracy before sending out
  • Ensure media bookings and invoices tally for efficient and timely Finance Invoicing
  • Checking of print quality on tear-sheets, broadcast logs and clear digital invoice matching

Ensure accurate & timeliness

  • MCRs are released to creative agencies
  • Copy Instruction is sent out to media owners
  • c/cert, MIM, FINAS documents faxed/sent out to media owners
  • Availability of tear-sheets/publications for billing
  • Have the skillset of media tools such as Nielsen’s, Kantar, GFK, Starcam* etc. It builds basic evaluation on buying plans
  • Starcam to be learnt upon joining

PERIODIC DELIVERABLES

Monthly Billing Schedules

Generate correct schedules for finance billing:

  1. Interco
  2. Client

Media Reports

  • Generate media spend reports by each client pillar
  • Update planners with client spend and contract status
  • Weekly TV campaign monitoring
  • CPRP reporting
  • Post buy reporting (spots by spots validations)
  • Ad validations
  • Ad tracking, collect publish ads for print (e-copies from MO)
  • Reach curve
  • AA and Credit note

Fortnightly

  • Tracking of sponsorship floaters and FOC spots. Ensure timely and accurate tracking

Weekly/Daily

  • Monitor ad clash within the account in accordance with requirements
  • Verification of booked spots with airtime agreement
  • Ensure all bookings are sent via email/fax and confirmed receipt by media owners via email reply/telephone call. Note down time, date & name

Overall

  • Work closely with Senior Buyers / Managers on booking requirements and deadlines.
  • Learn relevant buying tools and update oneself with media buying related information.
