Job Title: Print/Mail/Sign Department Secretary
Reports to: Manager of Print/Mail/Sign Services
Dept/School: Communications / Central Administration Office
Work Year: 226 days
Base Salary: $37,800 Actual salary will be calculated based on experience.
PRIMARY PURPOSE:
Organize and manage the routine work activities of the Print Shop department and provide clerical services to the Manager of Print/Mail/Sign Services and Operations.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Some college preferred
Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance
Effective organizational, communication, and interpersonal skills
Ability to use software to develop spreadsheets, databases, word processing, and general office publications
Ability to prioritize workflow to address the multiple needs of the supervisor
Knowledge of basic accounting principles
Willingness to collaborate with members of an office team
Ability to maintain confidentiality of information
Ability to work independently and problem solve as needed
Experience:
Minimum of three years administrative support experience preferred, preferably in a public education environment
MAJOR RESPONSIBILITIES AND DUTIES:
Offer quality print services to the District and off-campus organizations affiliated with the District.
Maintain Print/Mail/Sign Center operating budget.
Achieve financial objectives by forecasting requirements, preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
Maintain a database for reporting customer charges for budget chargebacks.
Responsible for the processing and reconciliation of Print/Mail/Sign Center requisitions.
Maintain the accounts payable process for Print/Mail/Sign budgeting.
Develop bid specs for purchasing or upgrading equipment, vehicles, etc.
Maintain vendor management to ensure business priorities are met and operating within budget.
Maintain an adequate inventory of print, mail, and sign supplies.
Office Management and Support
Compile pertinent data as needed when preparing various state and local reports.
Maintain physical and computerized departmental files.
Maintain records as needed.
Answer incoming calls, take reliable messages, and route to appropriate staff.
Maintain a schedule of appointments and make travel arrangements for department staff.
Receive, sort, and distribute mail and other documents to department staff.
Maintain confidentiality of information.
Schedule meetings and appointments, including training rooms, and maintain calendars.
Receive, store, and issue supplies and equipment.
Manage department reception desk when needed.
Perform routine bookkeeping tasks for the department.
Assist with the preparation of purchase orders and payment authorizations.
Communication
Prepare written correspondence, forms, schedules, or reports for Manager of Print/Mail/Sign Services and other department staff.
Update handbooks, policy manuals, and other documents as assigned.
Assist staff, parents, and community members as needed.
Maintain confidentiality.
OTHER DUTIES AS ASSIGNED:

Occasional light lifting and carrying. May work prolonged or irregular hours; occasional districtwide travel. Work with frequent interruptions; maintain emotional control under stress.
