What will I be doing?
This is a critical 6-month fixed-term contract where you will lead an impactful project focused on significantly improving Kaluza’s onboarding experience within our fast-paced tech scale-up environment. You’ll be instrumental in designing and implementing processes that ensure our new hires seamlessly integrate, become productive quickly, and feel truly welcome from day one.
In this role, you will be responsible for:
- Leading End-to-End Project Delivery: Own and drive a 6-month project focused on enhancing our new hire onboarding journey, managing all phases from initiation to successful implementation, ideally leveraging Agile or hybrid methodologies.
- Process Mapping & Optimization: Conduct a deep dive into our current onboarding processes, meticulously mapping workflows, identifying pain points, and pinpointing areas for greater efficiency and a smoother experience.
- Driving Process Improvement: Design and implement improved, scalable workflows and employee journeys, ensuring they are practical, effective, and align with Kaluza’s culture and operational needs.
- Cross-Functional Stakeholder Engagement: Build strong, collaborative relationships with key stakeholders across People, Technology/Product, and Business leadership, translating strategic needs into actionable project deliverables.
- Enhancing Employee Experience: Champion the new hire experience, gathering requirements with empathy and designing solutions that make onboarding informative, engaging, and reflective of Kaluza’s values.
- Content Strategy & Oversight: Lead or contribute to the strategic development, curation, and dissemination of essential onboarding content, ensuring clarity, consistency, and accessibility for all new joiners.
- Driving Autonomy & Momentum: Work autonomously to maintain project momentum, deliver on commitments, and provide clear, concise reporting on progress and outcomes in a dynamic scale-up setting.
About You
You are an experienced Project Manager with a passion for creating exceptional employee experiences, particularly within the dynamic world of tech scale-ups. You thrive on driving process improvement and enjoy working autonomously to deliver tangible results that make a real difference to people.
Ideally you’ll have/be:
- Proven Project Management Expertise: A strong track record of managing end-to-end projects, with solid planning, stakeholder engagement, reporting, and delivery skills.
- Experience in a Tech Scale-Up / SaaS Environment: Familiarity with fast-growing, dynamic organizations and the unique challenges of scaling People practices.
- Process Mapping & Improvement Skills: Demonstrated ability to analyse current processes, identify inefficiencies, and successfully implement optimised workflows or employee journeys.
- Strong Stakeholder Management: Skilled at building relationships and collaborating cross-functionally, especially with People/HR, Tech/Product, and Business Leaders.
- Employee Experience Focus: A genuine understanding of what constitutes a great onboarding experience, coupled with empathy for new hires and a user-centric approach to design.
- Content Creation/Curation Oversight: Experience in leading or contributing to the development and organization of engaging content.
- Comfortable working autonomously and driving momentum in a fast-paced environment.
- While not mandatory, some experience working within or alongside People/HR teams, with an understanding of the employee lifecycle and organizational culture dynamics, is highly beneficial.
What will set you apart
- An understanding of Learning & Development (L&D) or Instructional Design principles
- Experience with implementing or optimising onboarding platforms (e.g., BambooHR, Workday, Greenhouse, or custom LMS solutions).
- A background in Change Management, particularly in rolling out new processes and embedding behavioral change.
- An awareness of how to apply a Diversity, Equity, and Inclusion (DEI) lens to make onboarding truly inclusive and accessible.
- A data-driven mindset, comfortable using metrics (e.g., surveys, time-to-productivity, retention rates) to evaluate effectiveness and drive continuous improvement.
