Job Description
The Fleet Manager Europe is responsible for ensuring the smooth operation of the total fleet in Europe comprising of the Zones of UK&I, Benelux, France, CEE, Nordics, IIG, Iberia and DACH. The Fleet Manager will work closely with key stakeholders in Rewards who are responsible for the policy, Procurement, who manage the contract with our Lease Company Ayvens, People Services function, who manage the administration and local fleet managers, where present.
In addition to the European responsibility the role will cover the fleet management responsibilities of Benelux and the UKI, with the potential for this to expand further.
Key Areas of Responsibility
Europe Responsibilities
- Monitor EU Lease company(s) performance and address issues/concerns
- Works closely with lease Company (s), and key internal stakeholders of finance, rewards, procurement, PPS, People Function, to ensure the smooth operation of the fleet policy and alignment and consistency across Europe.
- Oversee the operational efficiency of the fleet in EU in line with Philips's Global 4S Strategy (sustainability, safety, satisfaction, & savings).
- Partner for rewards on local and EU policy development.
- Supports harmonization across Europe of policy and ways of working.
- Participate in fleet strategy meetings.
- Sets EU driver compliance framework in relation to safety, environmental and other key regulations.
- Initiates and Supports key improvement projects and initiatives in Europe.
- Co-ordinates and supports fleet mgrs. in Europe to ensure consistent approach.
- Provide tactical guidance and recommendations to align the fleet management with the company’s broader business objectives (strategy).
Benelux & UK&I & France Responsibilities
The role will oversee the fleet activities in Benelux and UK&I, which is approximately 1000 drivers, with additional administration support for Benelux already in place. Key responsibilities are:
- Monitor Lease company performance and address issues/concerns
- Works closely with lease Company (s), and key internal stakeholders of finance, rewards, procurement, PPS, People Function, to ensure the smooth operation of the fleet policy and alignment and consistency across Europe.
- Work with the lease company to ensure correct payroll deductions made (e.g. trade ups, fines,)
- Day to day operational support and escalation management
- Oversee the operational efficiency of the fleet in the Zone/countries in line with Philips's Global 4S Strategy (sustainability, safety, satisfaction, & savings).
- Executes policy in Zone/geographical area.
- Dual bidding support & renewal process quotations.
- Oversee vehicle maintenance, monitor & report on KPI’s.
- Accident Management.
- Raise PO’s & approval invoices.
- PPS escalation for fleet questions and change mgt.
- Participate in local fleet strategy meetings.
- Develop and enhance fleet work processes, (ordering, renewals, return, customer service, financial reporting/PO support/Invoicing, employee data mgt, etc) , tooling and organizational structures.
- Ensure driver compliance with safety and environmental regulations.
- Oversee vehicle maintenance, leasing agreements, insurance policies, and relevant documentation.
- Supports key improvement projects and initiatives in UKI and Benelux.
- Ensure a smooth, compliant, and efficient experience for employees utilizing company cars
- Co-ordinate and implement the necessary tools/solutions to improve internal communication and an effective fleet management
- Communicates fleet changes and updates to drivers with support from Rewards and comms
Experience:
- A bachelor's degree in business administration, logistics, supply chain management, transportation management, or equivalent.
- 5 years of experience ideally fleet management, logistics, transportation, or a related field.
- Experience in managing and operating a fleet of vehicles (trucks, cars, vans, etc.) and familiarity with industry regulations and standards in the Benelux, ideally with knowledge and experience in other European markets.
- Knowledge about fleet management software and systems or equivalent.
- Understanding of vehicle maintenance schedules, repair processes, and procurement.
- Knowledge of GPS tracking systems, telematics, and other fleet technologies.
- Experience in maintaining accurate records and ensuring adherence to safety standards and regulations.
- Experience in budgeting, forecasting, and managing expenses related to fleet operations.
- Ability to analyze financial reports and identify cost-saving opportunities to optimize fleet operations.
- Experience in troubleshooting and resolving operational issues.
- Proven experience in managing stakeholders across a variety of roles and functions e.g. rewards, People, Finance, Procurement.
- Excellent Strong verbal and written communication skills.
