Senior Parts Administrator - 2nd Shift

Description:

The Senior Parts Administrator plays a key role in supporting Operation management by handling inventory control, procurement activities, and documentation related to spare parts, tools, and maintenance materials essential for facility, utility, and production equipment operations. Working within a GMP-regulated environment, this position ensures the availability, traceability, and regulatory compliance of all critical Maintenance, Repair, and Operations (MRO) items.

Schedule:

2nd Shift - 3:30pm - 12:00am Monday to Friday

Essential Functions:

  • Maintain inventory of critical spare parts in alignment with equipment reliability and production requirement. Ensure accurate labeling, storage, and traceability of all parts in compliance with cGMP and company SOPs.
  • Initiate and monitor purchase requisitions and orders for MRO items, working closely with Procurement and approved vendors. Co-ordinate with suppliers for damaged parts, rejection parts, return & replacement parts as well as back orders.
  • Maintain parts date and accurate inventory into asset manager systems. Ensure tracking systems are updated for spare parts usage, new and current stock levels, reordering thresholds, and parts history
  • Track and receive inbound parts orders. Maintain documentation including part specifications, vendor certifications, material compatibility, and equipment Bill Of Materials (BOMs).
  • Coordinate with Maintenance Technicians and Engineers to ensure timely availability of required parts for PMs, repairs, and project work.
  • Train and mentor junior staff or technicians on parts handling, systems use, and inventory best practices
  • Work alongside several departments to find and distribute replacement parts from current inventory as needed

Additional Responsibilities:

  • Must be able to operate a forklift (training can be provided)
  • Records budgetary and spend information for Management analysis
  • Other responsibilities as assigned by Senior Management
