Training and Events Coordinator Project Liaison

New Orleans, LA

Vertex Professional Services (VPS) is looking for a full time Training and Events Project Liaison. The primary responsibility of this position is to oversee and coordinate the planning and execution of training and other related projects for the VPS Logistics team. This role will ensure flawless execution in support of training and development programs sponsored at the business unit and/or enterprise organization levels for the customers we support. This position requires the ability to work collaboratively with other team members and other functions to execute the logistical requirements for events.

The ideal candidate must possess a strong business acumen, the ability to work proactively, within budget, and collaborate efficiently and effectively with co-workers, internal departments, and the end customer.

Responsibilities (include but are not limited to):

  • Coordinate and execute logistics to support learning programs, training, and events ranging in scale from individual course classes to week-long events for local and remote locations
  • Arrange and schedule training facilities/classrooms, offsite venues, instructors, and required equipment
    • Order and distribute course materials
    • Handling phone inquiries and customer interface
    • Select, coordinate and order catering services for events
    • Venue/classroom set up and tear down
  • Liaise with clients to identify and gain consensus on requirements, clearly define scope and deliverables.
  • Maintain Program SharePoint sites
  • Create and maintain all program related documentation (internal and external job aids, FAQ/Q&A, notifications & email templates)
  • Conduct in-person and virtual (Zoom/WebEx) meetings and support the facilitation of classes/events
  • Extensive use of a Learning Management System (LMS) to schedule courses and classes, update enrollments and completions, and generate reports
  • Daily use of a Workflow Management System to track and manage class/program information, requirements, and completion of tasks associated with event support
  • Communicate with students, instructors and event sponsors via email and/or phone to answer questions and resolve scheduling issues
  • Collect and complete all billing information for billing of classes/programs
  • Identify and support implementation of process improvements
  • Responsible for overall client satisfaction resulting in achievement of planned retention and expansion of assigned programs

Required:

  • Minimum five years of professional experience supporting learning and project coordination in a customer-facing environment
  • Strong organizational and time management skills and ability to demonstrate attention to detail
  • Able to follow defined processes with minimal oversight
  • Able to identify risks and present options for resolving
  • Intermediate skills in Microsoft Excel, PowerPoint and Word examples include:
    • Experience analyzing data to generate reports, summarize results, identify trends, identify problems, and suggest solutions
    • Ability to use Microsoft Excel and PowerPoint to present the results of analysis in a clear way to influence stakeholders
    • Able to use formulas, and generate pivot tables, charts, and graphs in Excel
  • Proactive, a self-starter with effective teaming skills
  • Demonstrated experience supporting business project management and execution in a customer-facing environment
  • Proven ability to identify, evaluate and resolve problems quickly and effectively
  • Must possess excellent interpersonal, written, and verbal business communication skills
  • The ability to lift up to 35 pounds

Desired Skills:

  • Knowledge of learning and development industry, training/program administration, and classroom/event (virtual /in person) logistics
  • Previous experience planning events utilizing customer requirements and established work processes
  • Ability to identify areas of continuous improvement in the work environment and processes
  • Experience with Learning Management Systems such as Success Factors
  • Working knowledge of Outlook email system
  • Working knowledge of SharePoint systems

Required Education:

  • Bachelor’s degree
  • Eight years professional experience with a high school diploma may be considered in lieu of degree

It is important to note that this position requires:

  • After hours, weekend and/or overtime work may be required
  • The ability to travel up to 25%
  • This position does not provide relocation assistance

This position requires a U.S. Person who is eligible to obtain any required Export Authorization.
