What to Expect

The Sr. Manager, HCI Operations Planning is responsible for overseeing and executing strategic initiatives related to the optimization of vendor operations and managing vendor relations to ensure vendor performance meets set key performance indicators (KPI’s), service level agreement (SLA’s), and deliverables. This role will lead the team responsible for the daily operational support of vendors, Field Sales team, and Dealers across contract originations, cancellations, and claims.

What You Will Do

1. Vendor Management

  • Monitor and evaluate vendor performance against agreed-upon key performance indicators (KPIs) and goals, ensuring they meet and exceed production and quality targets.
  • Serve as the primary point of contact for issue escalation and resolution
  • Ensure vendors are meeting all the contractual obligations and service-level agreements (SLAs) established in the vendor agreements.
  • Partner with Procurement and leadership to adjust vendor contract/terms, as needed.
  • Collaborate with vendors to develop and maintain process workflows depicting vendor interaction with HCA/HCI programs.

2. Vendor Performance Analytics

  • Utilize data and performance metrics to identify trends, optimize vendor processes, and address areas for improvement.
  • Develop and optimize standardized vendor scorecards for key strategic partners.
  • Prepare regular reports / dashboards to communicate results to internal stakeholders and senior management.
  • Conduct regular business reviews to assess and manage risks associated with vendor services while collaborating with relevant teams to implement proactive solutions.

3. Vendor Compliance

  • Ensure vendors adhere to all regulatory and compliance requirements set forth by our organization and relevant authorities.
  • Regularly audit vendor processes to identify and rectify any compliance gaps.
  • Establish and maintain vendor issue logs with follow up and resolution of each issue.
  • Follow-up with vendors to ensure that required remediation is conducted in a timely manner.
  • Implement and manage process controls to comply with KSOX/SOC requirements.

4. Operations & Strategic Projects

  • Research current HCI processes, F&I technology, and data infrastructure to develop a broad understanding of HCI’s business model and the F&I industry
  • Analyze findings to collaborate with strategic partners and HCA in developing operational strategies that drive dealer/customer satisfaction, continuous improvement, and automation
  • Execute operational enhancement projects by working with Project/Business Team Lead(s) to prioritize projects based on resources and budget
  • Create communication bulletins and/or training materials for Field Team / Dealers / Customers.
  • Document and track project scope/requirements, user acceptance testing (UAT); and conduct post-mortem analysis to report on project benefits.

5. Lead, mentor, and develop team members by providing direction, performance feedback, and support to ensure effective collaboration, professional growth, and achievement of organizational and personal goals.

Qualifications

What You Will Bring

  • Minimum 8 years of operations experience in the financial services industry
  • Minimum 3 years supervisory experience.
  • Proven leadership in managing large teams and complex operational functions.
  • Experience in the auto finance industry a plus.
  • Bachelor’s degree required.
  • MBA a plus.
  • Six Sigma, Lean Six Sigma or Business Process Management (BPM) experience a plus
  • Strong oral and written communication skills, including the ability to engage/explain complex long-range plans and effectively present to all levels across the organization.
  • Conflict management and strong negotiation skills.
  • Proven ability to develop, mentor and lead a team to achieve business objectives.
  • Ability to foster a culture of accountability, innovation, cross-functional collaboration, and continuous improvement
  • Demonstrated competency with research, analysis, and problem solving both within a department, cross- functionally, and external stakeholders.
  • Experience with creating communication bulletins and/or training materials for Field Team / Dealers / Customers.
  • Exceptional organization and time-management skills in a fast-paced environment.
  • Strong PC Skills: Microsoft Word, Power Point, Excel, Access, Visio, and Projects
  • Working knowledge of reporting Software (JIRA, Confluence, Tableau, OBIEE, SAS, Workbench etc.)
  • Self-directed, resourceful, and results oriented.

Work Environment

Employees in this class are subject to extended periods of sitting, standing and walking, and using a computer. Work is performed in an office environment.

The posted salary range for this job takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; geographic location, and other business and organizational needs. Successful candidates may be hired anywhere in the salary range based on these factors. It is uncommon to hire candidates at or near the top of the range.
