About the role

Become a key player in Shopify's Procurement team as a Procurement Operations Analyst, where you will streamline and support procurement processes. This role offers a unique opportunity to engage in vendor management, project coordination, and Source-to-Pay (S2P) operations within a fast-paced and innovative environment.

In this role, you will support the procurement team by managing vendor relationships, facilitating efficient project management, conducting process mapping to visualize and improve current workflows and contributing to the continuous enhancement of our S2P systems. Your excellent written communication skills will ensure clear and effective interactions with both internal stakeholders and external vendors, maintaining alignment with organizational goals.

Responsibilities:

  • Provide comprehensive operational support for existing Source-to-Pay systems.
  • Assist with procurement-related administrative functions, and spearhead continuous improvement initiatives to enhance operational efficiency.
  • Assist in coordinating procurement projects, managing timelines and deliverables, and ensuring smooth execution aligned with strategic objectives.
  • Monitor and manage the Procurement team's primary support channels, promptly addressing and resolving all inquiries with accuracy and efficiency.
  • Maintain, improve, and update documentation for processes and configurations related to Procurement SaaS implementations and ongoing system maintenance.
  • Ensure the accuracy of S2P data by conducting regular system audits and taking corrective action as needed.
  • Develop and maintain workflow processes and standards documentation for departmental procedures, applicable to both internal stakeholders and external partners.
  • Utilize BigQuery and Looker Studio to perform complex data analysis and generate detailed reports, ensuring that procurement-related data is accurately interpreted.
  • Coordinating with various departments (such as Accounts Payable, Finance, Legal, and Operations) to align procurement strategies with broader organizational goals and ensure seamless communication.
  • Experience in resolving disputes with vendors or within internal teams, using effective communication skills to find mutually beneficial solutions, maintain professional relationships, and documenting important decisions for future reference and continuous improvement.
  • Apply existing AI-enhanced technologies and automation tooling for daily operational tasks reflexively as part of your fundamental workflow.

Qualifications:

  • Demonstrated ability to thrive in a team environment, with strong collaborative skills for building and maintaining productive relationships with stakeholders.
  • Keen attention to detail and a passion for systems and technology, ensuring accuracy and effectiveness in your work.
  • Demonstrated ability in project management, with an exposure to standard methodologies.
  • Ability to comprehend complex processes operationally and systematically to later identify opportunities for improvement.
  • A recognized university degree in a relevant discipline is required.
  • Superior written and verbal communication skills.
  • Proficiency in analyzing large datasets and creating insightful visualizations.
  • Ability to work independently while contributing effectively within a team.

Bonus Experience:

  1. Practical experience with procurement applications is preferred, including familiarity with Coupa, Zip, IronClad, NetSuite, and/or other contract management or ERP applications.
  2. Delivering presentations to senior management or cross-functional teams to report on procurement activities, budgets, and strategic insights.
  3. Conducting and communicating supplier performance evaluations, discussing results with vendors to drive improvements and ensure compliance with contractual agreements.
  4. Experience or knowledge of the FinTech industry is highly desirable. Experience within technology, FinTech, or SaaS industries is preferred.
  • Proficiency in SQL for querying and managing large datasets, particularly within Google BigQuery and Looker Studio.
