Duties and Responsibilities

The Project Assistant - Events supports the implementation of communication and outreach activities to enhance the visibility and impact of the project through the organization of events. Working closely with the Cultural Heritage and Communications team, the role ensures high-quality content development and effective coordination of events in line with UNDP and donor guidelines. The incumbent also contributes to community engagement efforts—particularly involving women and youth—and ensures that all events are delivered efficiently, on time, and to the highest standards.

  • Support the implementation of the events and work plans under the Technical Committee on Cultural Heritage (TCCH), ensuring effective coordination, delivery and stakeholder involvement.

Planning & Coordination

  • Conduct pre-event analyses, including desk reviews and contextual research.
  • Develop detailed event concepts, including clear objectives, target audiences, and agendas.
  • Coordinate with project staff, stakeholders, and partners to define event goals and roles.
  • Draft and maintain event work plans, timelines, and checklists.
  • Secure venues, both physical and digital, ensuring accessibility and inclusion.
  • Prepare and manage event budgets and procurement needs.

Oversee event setup, registration desk, signage, and on-site logistics

Stakeholder Engagement

  • Liaise with community members, youth and women’s groups, local leaders, and other partners.
  • Facilitate the participation of diverse groups to ensure inclusivity.
  • Provide administrative and logistical support to ensure the smooth implementation of communications, community outreach, and project activities.

Logistics & Operations

  • Arrange catering, transportation, interpretation, technical support, and security as needed.
  • Coordinate travel and accommodation for participants and speakers.
  • Manage event supplies, branding materials, and visibility items in line with UNDP/EU guidelines.
  • Support and participate the activities/events under the Technical Committee on Cultural Heritage (TCCH), dissemination events, providing support through the organization of events (events may be conducted outside regular working hours and during weekends and subject to UNDP’s rules and regulations in terms compensations required).

Technical & Digital Support

  • Set up and test audiovisual equipment or virtual platforms (e.g., Zoom, Teams).
  • Manage hybrid or online event logistics including recordings, live streaming, and moderation.
  • Provide technical support to speakers and attendees during events.

On-the-Day Management

  • Oversee event setup and registration.
  • Welcome participants and manage the agenda flow.
  • Troubleshoot logistical or technical issues as they arise.
  • Coordinate with service providers and ensure adherence to timelines.

Post-Event Follow-Up

  • Collect and analyze participant feedback through surveys or evaluation forms.
  • Prepare event reports, photo albums, and media summaries.
  • Share event outcomes and highlights on digital platforms and with partners.
  • Archive all event documentation and media assets
  • Support the design and execution of community engagement initiatives, with a focus on increasing the participation of women and youth.

Community Engagement Plan

  • Contribute to a community engagement plan that includes awareness-raising campaigns and specific activities to boost youth and women’s involvement in cultural heritage projects.
  • Ensure the plan incorporates both offline and online activities to maximize engagement.

Workshops & Training

  • Organize and facilitate a series of workshops, training sessions, and community events focused on raising awareness about the maintenance of TCCH projects.
  • Ensure workshops are accessible to women and youth, and encourage active participation.

Heritage Youth Ambassadors (HYA) Engagement

  • Act as the focal point for coordinating and engaging Heritage Youth Ambassadors (HYAs), involving them in event planning and implementation.
  • Ensure that HYA participation is central to the community engagement strategy, promoting peer learning and advocacy for cultural heritage preservation.
  • Contribute to knowledge building and knowledge sharing, through the documentation of best practices, lessons learned, and organization of internal learning sessions.

Supporting facilitation of knowledge building and knowledge sharing:

  • Supporting the team in identifying, documenting and drafting of best practices and lessons learned;
  • Organizing annual training for the team on effective communications and advocacy;
  • Assisting in systematic capturing of key achievements and lessons learnt of UNDP activities for knowledge sharing.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Required Skills and Experience

Education:

  • Secondary Education is required.
  • University degree (bachelor´s degree) in Social Sciences, Communication, International Relations, Cultural Management, English Literature, Social Anthropology, Urban Sociology or equivalent will be given due consideration, but it is not a requirement.

Experience:

  • Minimum five (5) years (with secondary education) or two (2) years (with Bachelor’s degree) of relevant experience in delivering communication services to promote the activities of international development organization and or NGO would be required at the national or international level.

Required Skills:

  • Experience in website administration (including content management system) and administering social networks
  • Proven experience in the usage of computers and office software packages (MS Word, Excel, PowerPoint, etc), experience in office and collaboration software packages and knowledge of spreadsheet and database packages, experience in handling of web-based management systems is required (including Word, Excel, PowerPoint, OneDrive, Teams, Outlook and SharePoint).

Desired Skills:

  • Previous work experience in UNDP.
  • Experience in facilitating and designing community engagement, confidence-building and awareness raising activities.
  • Previous experience in working in bi-communal projects.
  • Knowledge of the Cypriot cultural heritage, civil society context.

Required Languages:

  • Fluency in English is required.
  • Fluency in Greek and/or Turkish is required.

Professional Certificates:

  • Certification on communications is an asset.

  • Nationals or permanent residents in Cyprus are eligible.
  • Valid driving license is required for the use of office cars for the official purposes
