About the Role:

The Process and Procedure Administrator enhances the usability and efficiency of the technical documentation system. Responsibilities include managing the publication of procedure manuals, ensuring compliance with audit standards. Collaboration with leadership, procedure coordinators, technical writers, and other authors is essential to create workflow procedures. The role involves developing and maintaining a framework for knowledge content management workflows. Analyzing market and operational impacts of changes in the business and recommending improvements to leadership are key functions. Additionally, the administrator provides consulting expertise and recommendations regarding efficient uses of the technical writing system. Efforts contribute to making Umpqua Bank the easiest bank to do business with by driving improvements and ensuring documentation is clear, consistent, and accessible.

  • Primary administration; including user management, site creation and security, documentation of knowledge taxonomy, and management and output of analytic keys.
  • Schedule, manage, and complete publication of procedure manuals. Coordinate with IT, vendor, and leadership to streamline the processes.
  • Partner with leadership, procedure coordinators, technical writers and other authors to create workflow procedures for creating and maintaining technical documentation. Ensures compliance and audit standards.
  • Develop, document and maintain framework on knowledge content management workflows, including base authoring, content reuse and scalability.
  • Responsible for providing consulting expertise and recommendations to management and other authors regarding efficient uses of the technical writing system.
  • Analyze market and operational impact of changes in the business and recommend changes to leadership.
  • Performs research on the organization and workflows to recommend improvements to enhance the usability of our technical documentation of our systems.
  • May be responsible for creation, revisions, approval or maintenance of organization guidelines and procedures.
  • Create and recommend guidelines, standards or and procedural changes to leadership to maintain compliance and mitigate risk.
  • Demonstrates compliance with all bank regulations for assigned job function and applies to designated job responsibilities – knowledge may be gained through coursework and on-the-job training. Keeps up to date on regulation changes.
  • Follows all Bank policies and procedures, compliance regulations, and completes all required annual or job-specific training.
  • Maintain a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and other regulations as applicable to this job description.
  • May be asked to coach, mentor, or train others within the team.

About You:

  • Bachelor's Degree in Business, Finance or a related field or equivalent work experience. Required.
  • 4-7 yearsof relevant Treasury Management, Commercial or Corporate Banking experience. Required
  • 4-7 yearsTechnical writing experience. Required
  • 3+ yearsMadCap Flare and Central experience. Preferred
  • Strong knowledge of implementation, configuration and management of Madcap Flare and Central
  • Proven ability to lead and direct activities of peers for department initiatives
  • Demonstrate strong research, analytical, and problem solving skills. Ability to apply knowledge base to revise, create and recommend procedural changes.
  • Advanced Usability and Technical writing business acumen, knowledge of products, services and operational procedures. Ability to identify potential gaps and recommend solutions.
  • Possess excellent interpersonal, written and verbal communication skills with ability to facilitate training, present information and direction to individuals or groups at all levels across the organization.
  • Proficient application of Office Suite including Excel, spreadsheets and banking related software.
  • Demonstrate accountability, reliability, excellent organization skills, prioritize and take initiative in approach to work.
  • MadCap advanced Developer Certification. Preferred
  • Madcap advanced training. Preferred
  • Scaled Agile Framework (Safe) or Agile Certified Practitioner SAFe Practitioner
  • PMI - ACP. Preferred
  • Project management: PMP, CAPM. Preferred

We offer a competitive total rewards package including base wages and comprehensive benefits. The pay range for this role is $62,000.00 - $100,000.00, and the pay rate for the selected candidate is dependent upon a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, education, and geographic location. The role may be eligible for performance-based incentive compensation and those details will be provided during the recruitment process.
