Job Summary

The Administrative Assistant I will provide varied administrative and financial support for New Maverick Orientation and Transition Services and Programs. Requires exercise of independent judgment, initiative, and ability to make decisions relative to office operations and university policy and procedures. Essential Duties and Responsibilities

  • Responsible for front office coverage (walk-ins and phone), including assisting individuals, answering questions, and providing support.
  • Assist with projects including room reservations, coordination of food, RSVPs, and other event/project logistics.
  • Performs routine support and clerical tasks including organization, answering phones, filing, typing, office supplies and errands.
  • Arranges meetings, coordinates calendars, and prepares agendas and other formal and confidential correspondence.
  • Manages accounts and financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase orders and reimbursements.
  • Manage budget transfers, payment of invoices and reconciliation of accounts including special contracts working closely with Business Affairs for approvals in software purchasing and office equipment and goods and services.
  • Serves as TCP Timekeeper and backup timekeeper to departments.
  • Recruits, hires, trains, and supervises employees for front desk. Responsible for training on customer service, office procedures and policies.
  • Serves as the primary department contact for the university’s record retention policy. Develops and ensures procedures for records are in accordance with policy.
  • Manages a system of internal controls concerning records retention, and maintains procedures for records retention, storage, and destruction.
  • Maintains and reports employee time usage for all department employees.
  • Other duties, as assigned.

Minimum Qualifications

  • High school diploma or equivalent and a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.

Preferred Qualifications

  • Bachelors’ degree in Communication, General Studies, or Business.
  • Three (3) years of equivalent administrative or office support experience
  • Experience with UT Share/PeopleSoft.
  • Maintain high level of confidentiality.
  • Understanding of basic accounting principles, Microsoft Office Suite, UT Share and PeopleSoft.

  • Ability to interpret University policies and procedures.
  • Excellent oral and written communication skills.
  • Ability to multi-task and manage multiple departmental needs and priorities
