Schedule: Monday - Friday; 8:00 am - 4:30 pm

Location: Rogers Park; Hybrid 3 days in office

The Application Support Administrator plays a strategic role in aligning software applications with the organization’s operational and security objectives. Working at the intersection of IT, clinical, and administrative teams, this position focuses on application usage visibility, role-based access strategies, and securing system configurations.

The administrator ensures that tools used across the agency—from critical incident systems to policy documentation platforms—are deployed securely, used appropriately, and support efficient, compliant workflows. Microsoft 365 is the beating heart of Trilogy’s tech ecosystem.

Key Responsibilities

  • Cross-Departmental Collaboration
  • Work closely with clinical, administrative, and operational stakeholders to understand how different teams use applications. Identify inefficiencies, support needs, and security concerns to refine how tools are configured and accessed.
  • Application Usage & Role-Based Access
  • Analyze real-world app usage to define and refine role-based access groups. Partner with IT security to ensure least-privilege principles are applied, minimizing risk while improving usability.
  • Software Lifecycle & Governance
  • Monitor vendor updates, support timelines, and functionality changes across all critical systems. Recommend upgrades or replacements before systems become outdated or insecure, ensuring continuity and regulatory compliance.
  • Security & Compliance Monitoring
  • Collaborate with security personnel to detect unauthorized app usage, misconfigurations, or shadow IT. Implement controls and visibility to prevent data leakage and protect patient privacy.
  • Incident Preparedness & Contingency Planning
  • Support continuity of care by developing contingency plans for critical systems. Prepare offline workflows, secure export routines, and access redundancies for high-risk scenarios.
  • Application Deployment & Optimization
  • Support the secure rollout of new software tools, ensuring they align with agency workflows and security standards. Customize configurations to streamline onboarding and access management.
  • Automation & Cloud Integration
  • Collaborate with infrastructure and security teams to automate repetitive tasks and improve reporting workflows, while maintaining system integrity and audit readiness.
  • Access Control & License Management
  • Administer application access and licensing across the organization. Implement scalable, auditable access controls that support dynamic staffing and evolving team structures.
  • Advanced Troubleshooting & Support
  • Serve as Tier 2 support for complex technical issues related to internal applications. Work with vendors and internal teams to rapidly resolve problems affecting clinical or operational systems.
  • Knowledge Documentation & Internal Enablement
  • Maintain clear internal documentation, including access control policies, usage guides, and troubleshooting workflows. Train helpdesk and support staff to improve incident response and user satisfaction.

Qualifications:

  • 3 - 5 years experience in IT Administrator role(s)
  • Relevant bachelors degree preferred
  • CompTIA and ITIL Certifications preferred
