What You Will Achieve

This position will report to the Chief Development Officer, Oncology to deliver on commitments and drive the day-to-day business operations through the handling of multiple priorities, decision making processes, and information flow to ensure deadlines and obligations are met. S/He will contribute to the success of crucial Oncology priorities by leading operational excellence activities and fostering partnerships internally and externally.

How You Will Achieve It

  • Provide advice and guidance to the Chief Development Officer pertaining to overall time management by taking primary responsibility for optimizing and focusing available time on the highest priority areas/meetings and overseeing/driving logistical aspects of events.
  • Prepare briefing materials, agendas, pre-reads, and ensure other background information is prepared/provided.
  • Anticipate scheduling needs to avoid conflicts and work across the organization to ensure that activities are prioritized and taken care of, arranging any local or broader logistics necessary for success while taking ownership of activities that promote the efficient operation of the department.
  • Develop and implement best practices for Late Stage Oncology administrative staff, including ensuring administrative staff alignment around onboarding, supply ordering, and meeting support and keeping up to date on compliance systems, training, and other matters being initiated from the office of the President of R&D.
  • Serve as the primary liaison from Late Stage Oncology to the R&D office and Chief Oncology office on meeting preparation, scheduling and logistics for the Chief Development Officer’s participation in R&D wide meetings and activities, and to ensure that any materials needed for 1:1s and group meetings between the Chief Development Officer and the R&D President are prepared and provided in a timely fashion.
  • Draft and edit presentations in partnership with Business Operations for internal and external audiences, partner with Communications to support planning and management of communications needs of Oncology and drive day-to-day operations for the Chief Development Officer’s key interactions, meetings, and presentations.
  • Work proactively with Late Stage Oncology LT colleagues to ensure robust connectivity, planning and partnerships.
  • Proactively bring forward ideas for process improvements and more efficient operations.
  • Provide planning and logistical support for Late Stage Oncology executive group events and meetings.

Basic Qualifications

  • High school diploma and 8+ years relevant experience
  • College degree highly preferred
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features
  • Experience managing a high volume of work and working alongside senior leaders in a large organization
  • Ability to maintain composure under pressure as well as anticipate and manage unforeseen situations
  • Sound judgment, problem resolution, and decision-making skills
  • Demonstrated excellent interpersonal and verbal and written communication skills
  • Ability to work autonomously, set and manage multiple priorities simultaneously
  • Exemplary time management, attention to detail, and organizational skills
  • Ability to work with and have a high level of sensitivity with confidential documents and information
  • Demonstrated strong self-starter, independent, pro-active, and self-motivated

Preferred Qualifications

  • Prior experience as an administrative assistant supporting executive leadership in a global pharmaceutical organization
  • Knowledge of Pfizer systems (SharePoint, PT&E, Ariba, cross-site, ENGAGE, GDMS) and procedures
  • Knowledge of the pharmaceutical industry and healthcare environment

The salary for this position ranges from $32.70 to $54.50 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
