Henley Enterprises, Inc. (and our associated entities) is a privately-owned Franchisee of Valvoline Instant Oil Change (VIOC) currently operating over 260 VIOC locations in Massachusetts, New Hampshire, Rhode Island, Maryland, Virginia, Delaware, Florida, and California. The Company has grown rapidly, and projects continued growth moving forward. This full-time, nonexempt (hourly) position is eligible for a hybrid work arrangement (combination office and work from home) and is based out of either the Irvine, California or Newton, Massachusetts corporate offices. The position reports directly to the Leaves & Workers Compensation (WC) Specialist.

POSITION SUMMARY:

The Leaves & Workers Compensation (WC) Coordinator provides support for the administration of Company leave programs and workers compensation claims, including maintenance of information in the leave management and WC carrier systems, and communications with employees requesting, on and returning from leave. Under the direction of the Leaves & WC Specialist, may communicate with the employee, employee’s manager, HR Business Partner, benefits and payroll teams. The L & WC Coordinator compiles and maintains related records and documentation, over time gaining exposure and experience with some of the other duties and complex responsibilities within the job function.

  • Provide front line customer service and support for workers compensation claims, federal and state mandated as well as Company-provided leaves, serving as a key point of contact for employee inquiries regarding all leaves of absence (LOA)
  • Communicate the leave request process and requirements and other important information to employees and supervisors/ managers
  • Field general questions relating to WC claims, FMLA and other federal, state and Company-provided leaves of absence, and escalate issues to the Leaves & WC Specialist as appropriate
  • Serve as primary contact responding to specific written and verbal inquiries and resolve first level employee questions, escalate to the Leaves & WC Specialist as needed
  • Monitor and track LOA eligibility, status, documentation and return to work dates
  • Track and report, accurately and diligently, data related to mandated and Company-provided LOA (UKG WFM Leaves Module)
  • Maintain accurate and timely WC data in the WC insurance carrier’s portal
  • Create and/or facilitate and distribute end-user reports as needed, with various frequency & formats
  • Maintain current knowledge of various state and federal leave requirements and trends and carry out policy and process adjustments as necessary to remain compliant
  • Other leave related duties and occasional ad hoc HR function projects as assigned.

QUALIFICATIONS/COMPETENCIES:

Skills & Competencies

  • Proficient computer skills in Windows, Outlook, Excel, and Word
  • Experience with Leave tracking software a plus and/or ability to quickly master software programs
  • Customer-centered problem resolution approach
  • Solid communication skills, both written and verbal
  • Accuracy, high attention to detail
  • Strong time management/organizational skills
  • Ability to work effectively in a high volume, fast-paced environment
  • Collaborative team player

Education and Experience

  • Associates degree or equivalent work-related experience in office setting; business management degree or HR/Benefits accreditation a plus
  • 0 - 2 years HR, Benefits or related work experience
  • Multi-state/multi-unit or retail environment experience preferred

ENVIRONMENTAL & PHYSICAL REQUIREMENTS

  • Job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, scanners, photocopiers and filing cabinets
  • This is largely a sedentary role; however, some filing may require the ability to lift files, open filing cabinets and bend or stand as necessary. The employee may be required to stand, walk, use hands to finger, handle, or feel; and reach with hands and arms.
  • The employee is occasionally required to climb, balance, stoop, kneel, crouch, or crawl. The employee must frequently lift and move up to 10 pounds and occasionally lift and move objects up to 20 pounds.
  • Travel is not expected for this position.
