The goal of the Business Development Division (BDD) is to recruit, develop and retain emerging minority-owned, woman-owned and locally based business enterprises. Entry into public sector work remains a challenge for MWLBE. To reduce these barriers, BDD helps qualified MWLBE firms do business with the SCA. The Business Development Division recruits firms through community outreach and participation in various minority trade shows, conferences and forums. The SCA's MWLBE program provides opportunities to participate in the SCA's contracting and RFP processes and gain valuable experience. To be eligible for opportunities offered by Business Development Division, a business must become MWLB certified and prequalified.

Job Description Summary

The Confidential Assistant - A/B is responsible for independently performing confidential and complex secretarial functions and administrative duties within the Business Development division.

Job Description

Responsibilities include:

  • Provide high-level administrative support to the Business Development department head and directors by handling complex, sensitive, and confidential tasks. Attend management meetings, record minutes, and perform related duties as needed.
  • Manage incoming calls to the Business Development hotline with professionalism and efficiency. Direct callers appropriately, take accurate messages, and maintain detailed call logs and interaction records.
  • Support an advisory board and various committees by coordinating meeting logistics, preparing and distributing agendas and materials, attending meetings, recording minutes, and tracking follow-up actions.
  • Draft, edit, and proofread a variety of documents including memos, reports, newsletters, press releases, agenda items, and promotional materials. Compose content based on rough drafts, verbal instructions, or handwritten notes, using sound judgment and discretion.
  • Maintain strict confidentiality when handling sensitive information and data.
  • Perform a wide range of administrative tasks requiring initiative, discretion, and professionalism.
  • Independently compose correspondence and reports based on brief instructions or with minimal guidance.

Preferred Qualifications

  • Valid driver’s license with a satisfactory driving record.
  • Proficiency in spoken and written English.

Required Qualifications

Level A – High school diploma, or equivalent and five years of full-time administrative experience; two years must have been in a supervisory capacity or performing highly complex secretarial duties; Proficiency in typing, word processing, spreadsheets and other office equipment as specified.

Level B – High school diploma, or equivalent and six years of full-time experience in progressively more responsible administrative duties; four years must have been in a supervisory position or performing highly complex secretarial duties; Proficiency in typing, word processing, spreadsheets and other office equipment as specified.

Civil Service Classification: Non-Competitive

Salary Range:

Confidential Assistant A – $65,000 - $75,000

Confidential Assistant B – $75,000- $85,000

Work Experience
