Job Description

We're seeking an Executive Assistant to perform duties to support multiple executives and respective teams in administrative tasks

Responsibilities include:

  • Active calendar management (clearing conflicts, understanding Executive’s priorities, scheduling meetings, booking rooms, preparing materials, periodically ordering food or refreshments for meetings, etc).
  • Process all expenses related to the Executives.
  • Aid and support to all out-of-town team members
  • Greet all guests and direct them to meeting rooms
  • Administer and maintain office processes per guidelines (e.g., badges, access, workspace, event planning, travel coordination, calendar scheduling, facilities management, new program requests, etc.)
  • Track and ensure availability and accessibility of office space and relevant inventory/supplies
  • Respond to employee and office inquiries, escalating issues as appropriate
  • Support and organize various office projects and programs as needed (e.g., special
  • events/meetings, visitors, on boarding new hires, travel scheduling, calendar management, manage office moves)
  • Manage organizational charts and email distribution lists
  • Liaise with office colleagues, vendors and building management
  • Perform all other duties as assigned by Executives
  • Cover and assist the neighboring assistants, especially when away from their workstation or busy

Requirements:

  • 5-8 years of executive administrative experience in financial services or business setting in a large organization.
  • Regarded as proactive, responsive and resourceful when responding to inquiries, escalating issues as needed
  • Ability to interact with all levels of an organization, across various departments and locations
  • Ability to work both independently and in a team environment
  • Excellent organizational and multitasking skills
  • Strong interpersonal skills, communicate effectively
  • Proficient in Microsoft Office applications.

The typical base pay range for this role is between $35 per hour - $45 per hour depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
