Job Description
The Position
Manage Logistics for the responsible market, which includes importation, trade compliance, ensuring supply via liaison with demand fulfilment planner, 3PL partners, distributors, Alliance Partners, and freight forwarders, customs broker etc. and works closely with internal stakeholders of Commercial Business Units, Finance, Quality, Regulatory, Regional SCM and end Customer etc.
Warehousing includes matters related to day-to-day operations of external or leased warehouse and inventory management.
Responsibilities
Manage Inbound Shipments
- Coordinate inbound shipments and track in transit stock movement
- Coordinate the direct drop / Ex-warehouse shipments for Alliance business partners
- Responsible for Customs related compliance.
- Co-ordinate with Broker / Partner for customs clearances and TAT within threshold limits or
- KPI set
- Managing the inbound shipment tracker and work closely with local regulatory, customer service and Shipping Team
- Coordinate import permit / license to meet local regulatory and custom requirement
- Manage the inbound Temperature Excursion alarm and damage in a timely manner
- Act as In-Market Cold Stream Select (CSS) steward
- Oversee import document retention and electronic document storage in line with Organon Global Trade Compliance and customs requirements
- Submit Notifications of Insurance claim (Letter of Intent or LOI) for inbound damaged product. Submit formal insurance claim for damaged product purchased during transit
- Domestic freight management
Maintain Quality Compliance
- Ensure compliance to Global operating and guidance. Eg. GDP, GDL 21.03/21.04, SBP, SOPs, GXP
- Co-ordinate product Admin Hold as cascaded from Regional Quality Team and In-Market Quality
- Co-ordinate product recall as directed by Local Regulatory and In-Market Quality Team
- Contribute to cold chain management compliance for import shipment and ensure compliance for domestic shipments
- Ensure 3PL’s standards and training are kept up to date
- Support in returning Product Quality Complaint (PQC) samples to Site Quality
- Facilitate 3PL, TMS, Domestic Transporter and GTC audit as needed
- Support any ad hoc regional compliance project and survey
- Conduct domestic TLRA annually for transport of our goods
SCM Transactions and Co-ordinate Financial Processing
- Manage inventory transactions in SAP and accountable for stock accuracy.
- Manage returns from Distributors until destruction
- Managing OTC process, starting from following up PO, ensuring PO fulfilment, arranging transportation, and executing good issuance and billing
- Pricing maintenance-Coordinate for approved list price with OCO and work with distributor and/or JCAP team for system pricing maintenance.
- Support demand fulfilment planners for demand review slides
- Review IQV on monthly basis on expired/expiring/damaged/LASD stock and ensure physical timely write-off and destruction process within the same month with destruction certificate obtained for record keeping.
- Review the artworks change tracker and work with 3PL to ensure the batches do not distribute beyond the RID date
- Raise the LASD Extension request to extend the sell by date whenever necessary.
- Raise Purchase Requisition on vendors for routine and non-routine D&L services
- Raise the Repackaging change request (RCR) for local redressing
- Liaise with OMS Operations and Quality for CR (Change Request) approval (Market to Market Transfer)
- Work with 3PLfor repackaging/redressing
- Review the monthly invoices from vendors before submitting to ESS (Enterprise Solution Services) for payment release
- Assist in daily inventory reconciliation and prepare the month end stock reconciliation report
- Provide analysis for inventories at Distributors
- Monitor and Review the damages and warehouse shortfall claims with 3PL
- Submit Notifications of Insurance claim for damaged product during transportation.
- Support Commercial team in Backorder Management
Manage Logistics Partners and Suppliers
- Manage and optimize relationship with key external customers/providers/partners e.g.,3 PL, DISTRIBUTOR/S, Customs Broker, Global Freight Forwarders (e.g., K&N, DHL & UPS etc), packaging supplier and local wholesalers etc.
- Oversee and provide guidance to Customs Broker, 3PL and DISTRIBUTOR/S, customer service, warehousing, and distribution activities
- Set up, monitor and report KPI’s for service functions in Monthly Business Review (MBR) with 3PL, Customs Broker and other GFF as required to keep track of performance and progress, resolve any ongoing issues, and look for continuous improvement opportunities
- Collaboration with IMQ (In-Market Quality). Proactively detect performance deviation and request partner/supplier to follow CAPA process within the defined timeframe to provide recommendations and solutions to resolve problems
Cost Centre Management
- Maintains and control spend within the allocated SCO budget for your market(s).
- Ensure accurate monthly PO provisions (or accrual) for SCO expenses
Required Education, Experience, and Skills
- Tertiary qualified preferably in Supply Chain, Logistics, Operations Management
- Minimum 10 years’ experience in Supply Chain Management, Network Optimization role, preferably in a large complex multinational organization
- Certification in APICS will be highly desired
- At least 10 years’ experience in Distribution & Logistics, Importation & customs clearance processes.
- SAP experience is a must
- Multi-nation company experiences will be a plus
- Pharmaceutical or Healthcare industry experiences is preferred
- Experience in people management, including performance management, coaching, and mentoring.
- Good command of English in reading, writing, and speaking
