Job Description

The Seminaries and Institutes (SAI) department is seeking a dedicated and organised Administrative Assistant to join its team at the Sydney Office. This is a part-time, fixed-term position to provide maternity leave coverage for the current incumbent. The successful candidate will work 30.4 hours per week across four days, on-site, and will report directly to the SAI Coordinators. The appointment will commence on 18th August 2025 and conclude on 30 August 2026. Responsibilities

  • Compile data from various sources to prepare memos, documents, reports, spreadsheets (including charts and graphs), and presentations using diverse software and platforms
  • Perform research, analyze information, and make recommendations based on findings
  • Take meeting minutes and manage meeting documentation
  • Use computer applications and software to schedule meetings, appointments, and maintain calendars
  • Assist in the administrative training of teachers and support in the organization of teacher council meetings.
  • Support projects, programs, or processes e.g. social media posts, event creations and invitations
  • Answer moderately complex telephone and email requests
  • Reconcile expenses, ordering and maintaining stock whilst working within the office budget.
  • Occasional work outside regular office hours will be required

Qualifications

  • High School Diploma or equivalent and 2 years of administrative or related experience
  • Solid administrative support working knowledge
  • Communicate professionally in writing and verbally
  • Utilize Microsoft Office and other software including Canva and Canvas at an intermediate level
  • Schedule appointments, create and analyze spreadsheets, prepare presentations, take notes and minutes, and update documents
  • Operate and maintain standard office equipment
  • High organizational skills and attention to details
