Responsibilities:
- Administrative Support for Department Head:
- Manage the department head's calendar, including scheduling meetings, conference calls, and external events to ensure optimal time utilization.
- Prepare meeting materials, take minutes during meetings, and track the follow-up action items to ensure accountability.
- Handle incoming and outgoing documents and emails, ensuring accurate and timely communication with relevant parties.
- Assist the department head in project management by following up on project progress and ensuring timely completion of tasks.
- Office Relocation Management:
- Develop a detailed relocation plan, including timelines, budgets, and resource allocation, to ensure an efficient and organized moving process.
- Communicate and coordinate with moving companies, overseeing the relocation process to ensure all equipment and furniture are transported safely.
- Organize the setup of the new office, including the procurement and installation of furniture and equipment, ensuring the new environment meets departmental needs.
- Address post-relocation issues to ensure smooth operations in the new office, promptly resolving any challenges employees may face in the new environment.
- Report Compilation and Analysis:
- Collect and organize various departmental data, including budgets, expenditures, and project progress, to prepare comprehensive reports regularly.
- Analyze report data to identify trends and issues, providing actionable recommendations to support decision-making.
- Assist the department head in annual budgeting and performance evaluation to ensure effective resource utilization.
- Maintain the department's database, ensuring the accuracy and completeness of information.
Candidate Requirements:
- At least 5 years of experience in office administrative management, familiar with administrative management and Assistant processes.
- Good spoken English, capable of daily communication and writing, with a certain level of business English proficiency.
- Excellent organizational and communication skills, able to work effectively in a fast-paced environment, with the ability to multitask.
- Proficient in office software such as Microsoft Office (Word, Excel, PowerPoint, etc.), with data analysis capabilities.
