Description

Weyerhaeuser is seeking a Site Administrator for the Natchitoches Engineered Wood Products manufacturing facility located in Natchitoches, LA. The Site Administrator is responsible for maintaining employee records, updating databases, facilitating recruiting efforts, and handling day-to-day administrative tasks related to Human Resources and the Leadership Team. This is a salary non-exempt role that reports to the Mill Manager.

Key Functions:

  • Organize and maintain personnel, medical, and training records, including filing and following retention standards.
  • Prepare various HR documents, including new hire guides, compensation lists, etc.
  • Organize, order, and pick up site/crew/visitor meals.
  • Facilitate internal and external training, including scheduling meeting rooms, required media, and organizing snacks and meals.
  • Facilitate hourly interviewing efforts, including scheduling group interviews, coordinating Hiring Manager interview teams, preparing interview packets, and extending offers.
  • Schedule and manage pre-employment drug and physical screenings, communicating results to HRBP and Hiring Manager.
  • Facilitate and coordinate new hire onboarding, including allocating assets and scheduling training and meeting rooms.
  • Compliance management, including adherence to employment laws, maintaining required documentation, and conducting E-Verify for new hires.
  • Maintain strict confidentiality and professionalism.
  • Provide administrative support to the Leadership Team as necessary.
  • Schedule meetings, prioritize appointments, and coordinate meetings with internal and external stakeholders.
  • Create presentations, reports, memos, and other documents as needed.
  • Provide general housekeeping to the office, including stocking, straightening, and maintaining a professional and clean atmosphere.
  • Prepare meeting agendas, materials, manage media, and take minutes as needed.
  • Prepare and post site notifications, including employee engagement, Innovations, Safety, and other communications.
  • Manage office supplies and equipment.
  • Manage and assign associate locker list.
  • Manage incoming and outgoing mail and correspondence, including sending certified letters and packages.
  • Prepare all new hire onboarding materials, including packets, assign security badges, and assign virtual training in training database.
  • Log internal and external training records in training database and send monthly status reports of completed training to the Front Line Leaders.
  • Support site engagement efforts, including coordinating events with vendors and suppliers.
  • Track office expenses and maintain budget compliance.
  • Other duties as assigned.

Qualifications

  • High School Diploma/GED.
  • At least 2 years of experience in HR administration, or a related field.
  • Experience utilizing and navigating databases and tracking tools.
  • Proficient in Microsoft Office Suite.
  • Excellent communication and interpersonal skills, utilizing confidence, active listening, feedback, and non-verbal skills.
  • Ability to prioritize and multitask, applying a strong focus and attention to detail.
  • Exemplify cohesive team building skills across all levels of the organization.
  • Basic knowledge of HR policies, procedures, and programs.
  • Develop and maintain strong relationships with staff members.

Preferred Qualifications:

  • Experience in supporting an HR team/department within a manufacturing setting.
  • Associate’s degree (or higher) in Business Administration, HR Administration, or a related field.

Compensation: This role is eligible for our annual merit-increase program, and we are targeting a salary range of $49,400 to $74,000 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with 3-weeks of paid vacation to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours.
