The Senior Science Program Coordinator supports key administrative functions for HHMI’s science programs, with a focus on programming and events for HHMI scientists. This role requires adaptability, attention to detail, and the ability to manage multiple projects. Responsibilities include collaborating across the Science department and the Institute as needed, coordinating logistics, developing timelines, preparing and designing materials (including documents, slides and webpages), organizing meetings, and maintaining program documentation.

This role works a hybrid schedule (Tuesdays and Thursdays on-site; Mondays, Wednesdays and Fridays remote) at HHMI's Headquarters in Chevy Chase, MD, and reports to the Director, Programming and Events.

What you’ll do:

  • Collaborate with the Director of Programming and Events, Science Department and Institute colleagues to develop effective programming and associated communications.
  • Serve as a primary point of contact for participants in the Science Department’s growing portfolio of professional development programming.
  • Create program materials and targeted communications, such as announcements, FAQs, and website content, to support program visibility and engagement.
  • Support planning and execution of programming, including scheduling, travel coordination, participant communication, and material preparation.
  • Coordinate with internal Conference Services and external vendors to ensure smooth delivery of in-person and virtual events.
  • Support feedback mechanisms by distributing surveys, monitoring responses, and compiling summary reports.
  • Support program administration tasks such as payment coordination, reconciliation, budget tracking, reporting, and ensure adherence to policies.
  • Maintain records and generate summaries, presentations, and reports for internal use.

What you bring:

  • Bachelor’s degree or equivalent combination of education and experience is required.
  • Extensive experience in organizing and administering events for varying stakeholders (e.g., investigators, postdoctoral fellows, early career faculty, students, working groups, committees, etc.)
  • 5-8 years of experience in program administration.
  • Ability to work both independently and collaboratively with others within the Science team as well as other departments and teams.
  • Demonstrated ability to exercise good judgment.
  • Ability to correspond accurately, effectively, and in a timely manner with a wide variety of people at all levels.
  • Ability to handle multiple concurrent tasks, manage projects, and work under tight deadlines.
  • Excellent organizational skills with strong attention to detail and follow-through.
  • Advanced experience with MS Office Suite and payment/reimbursement apps and software.
  • Strong relationship-building skills and strong written and verbal communication skills.
  • A willingness to learn and fully understand the goals of each science program and its importance to the Institute.

Remaining in a normal seated or standing position for extended periods of time; reaching and grasping by extending hand(s) or arm(s); dexterity to manipulate objects with fingers, for example using a keyboard; communication skills using the spoken word; ability to see and hear within normal parameters; ability to move about workspace. Compensation Range

$86,081.07 (minimum) - $107,601.34 (midpoint) - $139,881.74 (maximum)

Pay Type:

Annual

HHMI’s salary structure is developed based on relevant job market data. HHMI considers a candidate's education, previous experiences, knowledge, skills and abilities, as well as internal consistency when making job offers. Typically, a new hire for this position in this location is compensated between the minimum and the midpoint of the salary range.
